Job Description

Role Overview

This position sits at the heart of the graduate admissions lifecycle, taking ownership of every application from the moment a prospective student first inquires through to their final enrollment. You will act as the operational anchor for graduate admissions, ensuring that each file is handled accurately, fairly, and in line with the university's academic standards and strategic enrollment goals. By coordinating closely with faculty, department heads, and recruitment colleagues, you help shape the incoming graduate cohort and provide a smooth, professional experience for applicants at every step.

Key Responsibilities

  • Manage the full application intake process for graduate programs, verifying that all submitted materials are complete, authentic, and meet program-specific eligibility and academic requirements.
  • Coordinate the Graduate Entrance Examination (GEE) process, including scheduling, administration, and following up on results, then organizing oral interviews with academic schools and program committees.
  • Keep applicants informed throughout their journey with clear, timely updates on admission decisions, outstanding documents, deadlines, and any required next steps.
  • Maintain the admissions database and application portal, ensuring accurate records, efficient workflows, and reliable reporting for internal stakeholders.
  • Support recruitment initiatives by partnering with marketing teams and academic departments, and by representing the university at graduate fairs, webinars, and other outreach events.
  • Act as the primary point of contact for prospective students, answering questions and guiding them through program choices, documentation requirements, and the application portal.
  • Serve as the administrative hub for the Directorate, preparing meeting materials, recording minutes for the Management Committee, and managing student files and progress records.
  • Assist with onboarding and orientation for newly admitted students, liaising between the central admissions office, academic departments, and student support services.

Requirements & Qualifications

  • A bachelor's degree in a business-related field, or an equivalent combination of education and relevant experience in a university or academic setting.
  • Demonstrated experience working within university academic systems, processes, or administrative structures, preferably involving graduate admissions, student records, or registrar operations.
  • A strong understanding of graduate-level application workflows, including document verification, eligibility screening, and committee-based decision processes.
  • Exceptional organizational skills with the ability to manage multiple application cycles, deadlines, and stakeholder expectations simultaneously.
  • Excellent written and verbal communication skills, with a proven ability to interact professionally with prospective students, faculty, and senior administrators.
  • Familiarity with admissions databases, student information systems, or similar platforms, plus proficiency in standard office software.
  • High attention to detail and a commitment to maintaining confidentiality when handling sensitive applicant and student data.
  • The ability to work both independently and collaboratively within a team, showing initiative in improving processes and supporting the Directorate's broader goals.
