Job Description

Role Overview

This position offers flexible administrative support to multiple sections within the Embassy, stepping in wherever staffing needs arise. On a typical day, you will draft official documents, manage phone and mail traffic, maintain filing systems, and help section chiefs stay organized through scheduling and meeting coordination. Your work keeps daily operations running smoothly and ensures that high-level visitors and internal teams receive prompt, professional assistance.

Key Responsibilities

  • Prepare correspondence, diplomatic notes, demarches, reports, cables, briefing books, and talking points under the direction of section chiefs.
  • Answer and screen incoming telephone calls, record accurate messages, and respond to routine inquiries appropriately.
  • Meet and escort visitors and work crews, ensuring they reach their destinations and receive courteous assistance.
  • Sort, distribute, and process incoming and outgoing mail across the sections you support.
  • Organize and maintain both physical and electronic filing systems, ensuring documents are easy to locate and properly archived.
  • Coordinate appointments and meetings, including taking notes and distributing relevant materials to participants.
  • Carry out additional administrative tasks as assigned, adapting quickly to the priorities of different sections and supervisors.

Requirements & Qualifications

  • At least two years of administrative or clerical office experience is required.
  • A high school diploma is required.
  • English proficiency at Level IV (fluent) in speaking, reading, and writing is required.
  • Broad familiarity with Embassy operations and interagency structures is necessary to work effectively across multiple sections.
  • Solid understanding of official correspondence conventions and general office procedures is expected.
  • Ability to interact professionally with VIP visitors and Front Office staff, exercising sound judgment and discretion.
  • Commitment to strict confidentiality is essential, as you will handle sensitive information in various forms.
