Job Description

Role Overview

This position sits at the centre of the company's agribusiness information flow, turning raw observations from partner farms and transit points into records that management can act on. Reporting to the operations management team, the Admin Clerk collects and verifies field data, keeps track of cassava volumes across partner farms, and follows produce from harvest through to delivery so that quantities, destinations and paperwork always reconcile. Because field officers, drivers, buyers and suppliers all work from the same numbers, the role directly protects the accuracy of stock records and the reliability of supply commitments.

Key Responsibilities

  • Gather field returns submitted by field officers, check them for accuracy, and enter the details into the company's central databases and shared cloud folders.
  • Help build and maintain maps of the partner farmer network, recording the cassava acreage and yields each farm can supply.
  • Consolidate daily and weekly field logs covering progress against plans, farmer records, supply shortfalls and other operational developments.
  • Keep a running inventory ledger showing produce at every stage — harvested, collected, in transit and handed over to local buyers.
  • Act as the coordination point between field teams, truck drivers, purchasing clients and suppliers to confirm delivery schedules and close gaps in dispatch information.
  • File delivery notes, client orders, logistics paperwork and stock movement records so that any transaction can be traced quickly during an audit.
  • Monitor core business indicators, identify and correct mismatched figures, and prepare summary analyses for management; use insight drawn from field data to support basic marketing plans and product promotional material.
  • Recommend practical improvements to data collection formats, reporting templates and everyday clerical routines.

Requirements & Qualifications

  • Education: Diploma or bachelor's degree in Agribusiness, Agriculture, Business Administration, Information Technology, Records Management, Operations or a comparable discipline.
  • Software skills: Strong computer literacy, with working proficiency in Microsoft Excel, Word and PowerPoint as well as digital database or cloud-based record systems.
  • Experience: A background in data entry, logistics tracking, field administration or agribusiness operations is an added advantage, particularly where the work involved field teams or rural farming communities.
  • Numerical and analytical precision: Careful verification of figures, accurate mapping of crop data and disciplined tracking of produce movements.
  • Communication and coordination: Sound interpersonal skills for liaising with field officers, suppliers, truck drivers and client buyers.
  • Resourcefulness: Comfortable using basic research tools, assembling information independently and resolving operational information gaps without close supervision.
