This position bridges detailed data management with compliance reporting; you will oversee expenditures from initial local purchase quotes and authorized payment vouchers through to statutory portal submissions. Areas of Accountability
Journal Entry & Financial Records Upkeep

Execute daily, high-precision data entry of all incoming and outgoing financial transactions into the QuickBooks system.

Build and maintain an orderly physical and digital archiving layout, ensuring all supplier invoices, official receipts, and internal payment vouchers are authorized and stamped.

Keep all financial files structured and up-to-date to ensure total institutional readiness for recurring audit cycles.
Cash Balance, Reconciliations & Inventory Log

Conduct weekly petty cash drawer audits, balancing physical money drops against approved expenditure summaries.

Assist senior accounting staff with the compilation and verification of monthly bank reconciliation statements.

Liaise directly with third-party vendors to resolve billing queries, audit statement balances, and collect cost estimates for localized purchasing.
Statutory Obligations & Payroll Management

Prepare and process monthly statutory deduction filings including PAYE, NSSF, SHIF, and the Affordable Housing Levy via the designated tax portals.

Assist in the accurate compilation of monthly payroll spreadsheets, verifying staff data points to support prompt salary disbursements.

Monitor dynamic program expenditures against authorized budget allocations, raising immediate flags regarding any structural variances.
Audit Inquiries & Service Coordination

Retrieve required source documents, ledgers, and transaction sheets to assist internal and external audit teams during field reviews.

Support cross-functional program coordinators to maintain a smooth flow of fiscal transactions across our educational and community outreach projects.

Enforce absolute confidentiality concerning staff salaries, institutional banking details, and donor transaction data.
Skills & Experience Required
Minimum Entry Criteria

Academic Foundation: Bachelor’s degree in Accounting, Finance, or a matching business discipline from an accredited university.

Professional Credentials: Must hold full CPA-K qualification status or its recognized equivalent.

Sector Track Record: Minimum of 3 years of progressive experience managing commercial or non-profit books, with a heavy preference for individuals from NGO, foundation, or educational environments.

Software Competence: High proficiency operating QuickBooks accounting software combined with advanced command of Microsoft Excel.

Language Skills: Polished verbal and written communication capacities in both English and Swahili.
