Job Description

Job Title: Goods Receiving and Inventory Clerk

About the Role

We are seeking a detail-oriented and organized Goods Receiving and Inventory Clerk to join our warehouse operations team. In this role, you will be responsible for the accurate receipt, inspection, and documentation of all incoming goods from suppliers, ensuring strict alignment with purchase orders and company policies. Your work will be critical in maintaining inventory accuracy, timely invoice processing, and seamless communication with both suppliers and internal teams.

Key Responsibilities

  • Receive and inspect goods: Process deliveries from suppliers in accordance with purchase orders issued by PSCMD, checking each shipment for correct quantity, quality, and price as per laid-down policies.
  • Document discrepancies: Complete required documentation for any items that do not match the purchase order, including initiating returns or claims.
  • Maintain accurate inventory: Ensure that all received goods are accurately updated in the inventory system by the close of each business day.
  • Submit invoices timely: Forward all supplier invoices to the documentation team within the stipulated timelines.
  • Coordinate credits and corrections: Follow up with both the supplier and the purchasing officer to obtain credit notes for any delivery discrepancies.
  • Report daily activity: Submit close-of-day reports to the Warehouse/Operations Coordinator detailing all receipts and actions taken.
  • Generate end-of-day reports: Prepare and submit reports on posted and unposted receipts to ensure complete visibility of daily goods receipt operations.

Qualifications and Experience

  • Education: Diploma or certification in a business-related field.
  • Professional Membership (preferred): Membership in the Chartered Institute of Purchasing & Supply (CIPS), Chartered Institute of Logistics (CILT), or the Kenya Institute of Supplies Management (KISM) will be an added advantage.
  • Work Experience: At least one year of relevant work experience in goods receiving, warehouse operations, or a similar environment.

Skills and Competencies

  • Technical proficiency: Strong working knowledge of MS Office, especially MS Excel and MS Word.
  • Customer service & interpersonal skills: Excellent ability to communicate effectively and build positive working relationships with suppliers, colleagues, and other stakeholders.
  • Organizational skills: Very good organizational ability with a keen eye for detail and the capacity to manage multiple tasks and deadlines.
  • Teamwork & initiative: Ability to work collaboratively within a team, demonstrate initiative, and take a proactive approach to problem-solving and process improvement.
