Role Overview
This position is the central link between transport operations and warehouse activity, ensuring that trucks move through the yard efficiently and dispatch schedules are met without delays. You will oversee the physical flow of vehicles, coordinate loading priorities with warehouse teams, and safeguard the accuracy of all dispatch paperwork before trucks leave the premises. Your work directly impacts on-time deliveries, operational safety, and the integrity of shipment records, making you essential to the daily rhythm of the supply chain.
Key Responsibilities
- Direct truck movement across the yard, assigning vehicles to the correct loading or unloading bays in line with the daily dispatch plan.
- Monitor the queue of waiting trucks, adjusting priorities as schedules shift and making sure no vehicle blocks access or causes congestion.
- Keep a close eye on bay availability and give the transport team early warning when space is running low or operations are falling behind.
- Hold regular coordination with warehouse supervisors on loading sequences, vehicle specifications, and the urgency of each customer order.
- Confirm that every truck is matched to the correct order and that the loading team has all required vehicle instructions before work begins.
- Check and validate all dispatch documentation — delivery notes, waybills, dispatch orders, transfer notes, security releases, and loading checklists — so nothing leaves the site incomplete or mismatched with the cargo.
- Maintain organised dispatch records, track proof-of-delivery returns, and escalate any missing, delayed, or inconsistent paperwork to the relevant manager.
- Enforce safe vehicle movement practices within the facility and promptly flag loading delays, documentation errors, or stock discrepancies to keep operations accountable.
Requirements & Qualifications
- A diploma in Transport & Logistics, Supply Chain Management, Business Administration, or a closely related discipline.
- At least 2 years of hands-on experience in transport and logistics coordination, ideally within a warehouse or distribution environment.
- Strong supervisory capability to direct drivers and warehouse staff without creating friction.
- Excellent communication skills for liaising between transport, warehouse, and management teams.
- Solid organisational skills to manage multiple trucks, schedules, and documents under time pressure.
- A firm and clear approach to enforcing procedures, balanced with a keen eye for detail to spot documentation mismatches or safety risks.
- Demonstrated personal integrity and reliability, especially when handling sensitive dispatch paperwork and security-controlled releases.
