Role Overview
You will be part of the reservations desk for a safari tour operator, making sure every travel component — from lodge stays and game-drive bookings to intercity flights — is confirmed and communicated correctly. Working closely with the sales and operations teams, you will turn client requests into clear, actionable itineraries and respond quickly when plans change. Your attention to detail helps the company deliver seamless safari experiences and keeps partners, such as hotels and airlines, aligned with our commitments.
Key Responsibilities
- Assist in confirming reservations for flights, accommodation, and safari activities, ensuring all details match the client’s expectations and the company’s availability.
- Communicate with hotels, airlines, and ground operators to verify availability, resolve capacity issues, and reconfirm bookings as departure dates approach.
- Prepare and issue guest documents, including vouchers, booking confirmations, quotations, and invoices, with accurate dates, names, and service descriptions.
- Collaborate with the sales team to draft custom itineraries that reflect the client’s interests, budget, and travel style.
- Handle booking modifications, cancellations, special requests, and after-hours emergency support, keeping all affected parties informed in a timely manner.
- Coordinate with sales, operations, and finance to ensure reservations are recorded consistently and billing matches the actual services delivered.
- Maintain up-to-date filing systems for reservations, supplier correspondence, and guest documents, both digitally and physically.
- Support quality control by monitoring on-ground services, collecting guest feedback, and flagging recurring issues to the management team.
Requirements & Qualifications
- Bachelor’s degree in Tourism, Hospitality, or a related field.
- 0–1 years of experience in reservations or tour operations, preferably within a safari company; fresh graduates with strong potential are encouraged to apply.
- Excellent verbal and written communication skills, with a patient and diplomatic approach to handling clients and suppliers.
- Strong problem-solving ability, especially when juggling last-minute changes, supplier constraints, and client expectations.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort using booking or reservation management systems.
- Exceptional attention to detail, with the ability to multitask and prioritise in a fast-paced travel environment.
- A customer-first mindset and willingness to support the team beyond core tasks during peak periods.
- Familiarity with East African destinations, national parks, and safari logistics is an advantage.
