Job Description

Role Overview

As a Senior Travel Coordinator, you will be the person travelers rely on when plans are complicated, timelines are tight, and the destination could be anywhere in the world. Working on behalf of the Church, you arrange transportation, lodging, and travel documentation for employees, missionaries, General Authorities, and other representatives so they can carry out their assignments without friction or delay. The work directly supports the Church's aim of making its teachings, resources, and services available to everyone in a simple, affordable way — your accuracy and resourcefulness keep both budgets and people moving.

Key Responsibilities

  • Design travel itineraries that balance cost, convenience, and schedule requirements, presenting travelers with viable options alongside the expenses tied to each.
  • Book flights, hotel stays, rail passage, and rental vehicles using the reservations system, online channels, or direct contact with vendors.
  • Produce clear, detailed itineraries that flag restrictions and include the practical information a traveler needs on the road.
  • Determine visa requirements and verify that supporting documents are complete and accurate before submission.
  • Communicate with consulates as needed, which can include scheduling a traveler's in-person appointment.
  • Handle invoicing, payment, and billing in line with accounting policy, and prepare check requisitions for processing.
  • Support the supervisor in training and coaching less experienced travel coordinators, and take on special projects or team assignments as requested.
  • Help maintain vendor relationships and coordinate logistics for events such as mission president seminars, area council meetings, and area reviews.

Requirements & Qualifications

  • Bachelor's degree combined with three years of travel industry experience, or an equivalent mix of education and hands-on experience.
  • Three or more years working in Church travel services is preferred.
  • Professional written and verbal communication, with strong customer service instincts and the composure to untangle difficult travel problems.
  • Proficiency with Microsoft applications.
  • Demonstrated ability to train, motivate, and lead other coordinators.
  • Capacity to sustain a high level of efficiency while carrying a substantial workload that includes special projects.
  • A track record of spotting process improvement opportunities and guiding change through to adoption.
  • Willingness to take after-hours phone calls when circumstances require it.
  • A visible model of professional conduct and consistently strong performance for other Travel Coordinators.
  • Travel University specialist certification (or the equivalent for your country) is strongly preferred.
  • Familiarity with shifts and emerging trends across the travel industry, kept current and applied to the work.
