Job Description

Role Overview

This internship sits within the Student Application & Monitoring team, where you will help manage the full lifecycle of applicant and student records — from the moment someone expresses interest through to onboarding, contract signing, and ongoing check-ins. Your daily work directly supports the team’s accuracy and efficiency, ensuring that every student file is complete, every outreach event is well prepared, and every communication is handled with care. You will collaborate across departments and interact regularly with students, guardians, and education institutions, making this a hands-on learning experience in the education sector.

Key Responsibilities

  • Assist in organising and delivering outreach activities such as visits to tertiary institutions, information sessions, and pre-graduation talks for prospective students.
  • Provide administrative support to the Student Application & Monitoring Manager and the wider CHANCEN team, including preparing documents, scheduling meetings, and maintaining records.
  • Review and verify the accuracy of data collected from student applications during the onboarding process, flagging any inconsistencies for the supervisor’s attention.
  • Maintain organised filing systems for all student member documents and route completed files to the supervisor for quality checks.
  • Prepare materials, banners, brochures, and other resources needed for education fairs, institutional visits, and external events.
  • Support the ISA contract signing process by coordinating logistics, preparing paperwork, and ensuring that all signatures and records are properly captured.
  • Help schedule and coordinate home visits together with the program team, ensuring all relevant stakeholders are informed and prepared.
  • Carry out additional duties as assigned by the supervisor to support team goals and organisational priorities.

Requirements & Qualifications

  • Minimum of a Diploma or ongoing Bachelor’s degree in Business Administration, Communication, Education, Sociology, Economics, International Relations, or a related field.
  • Strong verbal and written communication skills in both English and Kiswahili.
  • Ability to communicate clearly and professionally with students, applicants, and guardians across different channels, adapting tone and messaging to suit each audience.
  • Comfortable handling inquiries via email, phone calls, and digital platforms with empathy, patience, and professionalism.
  • Excellent organisational skills with close attention to detail when tracking communications, documenting data, and managing multiple tasks such as emails, calls, and follow-ups.
  • Demonstrated willingness to learn fast and adapt to CHANCEN’s organisational culture, values, and working style.
  • An interest in communication, customer service, or student engagement is an added advantage.
