Job Description

Role Overview

This position keeps the heartbeat of daily operations steady by making sure every item that comes into the warehouse or stockroom is properly received, safely stored, and readily available when requested. Day to day, you will be the person who knows exactly where everything is, what stock is running low, and what needs reordering, directly preventing slowdowns caused by missing materials. Your accuracy and organisation will help finance, production, and procurement teams make informed decisions based on reliable inventory data.

Key Responsibilities

  • Physically receive deliveries, check quantities against purchase orders or delivery notes, inspect for damage or discrepancies, and update the inventory system with real-time data.
  • Maintain a clean, logically organised storeroom where every item has a designated location; label bins clearly and rotate stock to avoid expiry or obsolescence.
  • Fulfil internal requisitions by picking the correct items, packing them securely, and issuing them against authorised approval documentation only.
  • Keep a continuous eye on stock levels, flagging low or excess inventory, and raise replenishment requests or purchase requisitions before critical items run out.
  • Track outstanding deliveries with suppliers or internal buyers, chasing late shipments and updating records when deliveries arrive partially or are rescheduled.
  • Carry out cycle counts and participate in full stock takes, investigating discrepancies and adjusting records through approved procedures.
  • Compile regular usage and consumption summaries broken down by department or project, verifying that documented issuances tie out to physical movements.
  • Submit signed-off stock consumption reports to the finance team on a set schedule, supporting accurate cost allocation and month-end closing.

Requirements & Qualifications

  • Diploma in Stores Management, Supply Chain, Logistics, Business Administration, or a closely related discipline.
  • At least two years of hands-on experience working in inventory control, warehouse operations, or stores management, including exposure to both physical stock handling and system-based record keeping.
  • A working understanding of FIFO/FEFO principles, bin location systems, and stocktaking methods.
  • Solid numeracy and attention to detail, with the ability to spot discrepancies between physical counts and recorded balances.
  • Practical proficiency with inventory management or ERP modules, alongside dependable skills in Microsoft Office, particularly Excel for tracking and reporting.
  • Good communication skills to coordinate with suppliers, internal requesters, and the finance team, and the ability to follow written procedures and authorisation rules without shortcuts.
