Role Overview
The Inventory Controller tracks coffee throughout its warehouse lifecycle, from intake and storage to processing, re-bagging and dispatch. By keeping system records aligned with physical stock and maintaining clear lot-level traceability, this role helps protect inventory integrity and ensures each movement is properly controlled and documented.
Key Responsibilities
- Maintain accurate inventory records, including client, lot, grade, marks, warrant or hold status, bag count, weight and storage location.
- Check that coffee is held in the locations shown in the inventory system and monitor transfers between warehouse areas.
- Independently verify stock issued for processing, then reconcile returned coffee against the quantity originally released.
- Investigate differences between physical counts and system balances, track corrective actions and follow discrepancies through to resolution.
- Confirm that movements, processing and dispatch are supported by appropriate authorization and documentation.
- Organize daily, weekly and monthly stock reconciliations and prepare formal reports on inventory variances.
- Clearly flag stock subject to restrictions, holds or pending warrant cancellation, and ensure these controls are reflected in inventory records.
- Update system quantities promptly after dispatch and escalate suspected tampering, unauthorized movement, contamination or loss without delay.
Requirements & Qualifications
- Diploma in Supply Chain Management, Logistics, Warehousing, Inventory Management, Business Administration or a related discipline.
- Three to five years of experience in inventory control, warehouse operations or stock management.
- Practical knowledge of stock-control procedures, inventory reconciliation and discrepancy investigation.
- Proficiency with Microsoft Excel and experience using an ERP, warehouse management system or other inventory platform.
- Experience handling high-volume or bulk stock; background in coffee, tea, grain or other agricultural commodity warehousing is relevant.
- Knowledge of coffee processing and export operations, and experience supporting internal or external audits, is an advantage.
