Job Description

Role Overview

This position centres on safeguarding inventory accuracy at every stage of the warehouse flow, from goods-in and storage to internal issue and dispatch. Working closely with the Operations Manager in Nairobi, the Stock In-Charge will be the go-to person for stock records, cycle counts, ERP data entry, and Excel-based reporting, ensuring that the figures in the system always reflect what is physically on the shelves. Your vigilance directly supports procurement decisions, reduces shrinkage, and keeps downstream teams supplied without costly interruptions.

Key Responsibilities

  • Receive incoming shipments and verify quantities, quality, and documentation against purchase orders and delivery notes before approving them into stock.
  • Maintain orderly, clearly labelled storage areas, following safe handling and stacking methods to protect goods from damage, contamination, or misplacement.
  • Schedule and perform regular cycle counts alongside periodic full physical stock takes, reconciling results with ERP records and resolving any mismatches immediately.
  • Update the ERP system with all receipts, internal transfers, adjustments, and dispatches, keeping transaction trails accurate and traceable.
  • Track slow-moving, dead, or surplus inventory, flagging items that require clearance, write-off, or transfer recommendations to management.
  • Authorise stock releases only when accompanied by approved, complete documentation, ensuring that no inventory leaves the facility without proper sign-off.
  • Prepare weekly and monthly inventory reports covering balances, turnover, variances, and stock movement patterns for use by departmental heads.
  • Support internal and external auditors during stock verification exercises and escalate any suspected theft, damage, or process breakdowns to senior leadership.

Requirements & Qualifications

  • Diploma or degree in Supply Chain Management, Logistics, Procurement, or a closely related discipline.
  • At least one year of practical warehouse or inventory control experience, ideally within a fast-moving distribution or supply chain environment.
  • Working knowledge of an ERP inventory module, with the ability to enter and retrieve data confidently and accurately.
  • Intermediate-to-advanced Microsoft Excel skills, including the ability to maintain trackers, apply formulas, pivot tables, and generate clear summary reports.
  • Sound understanding of stock valuation principles, receiving and issuing protocols, and basic warehouse safety standards.
  • Strong attention to detail, disciplined record-keeping habits, and a systematic approach to investigating stock discrepancies.
  • Clear communication and coordination skills for day-to-day contact with Procurement, Finance, Sales, and warehouse staff.
