Role Overview
This position places you at the centre of pension scheme administration, where you will be accountable for the operational soundness of a portfolio of retirement funds. Your focus is on the end-to-end management of member lifecycles, from joining through separation and payout, while guaranteeing accuracy in calculations, statutory submissions, and stakeholder reporting. By balancing control, leadership, and continuous improvement, you will be instrumental in preserving member confidence and fulfilling the obligations of the schemes you oversee.
Key Responsibilities
- Administer the full service continuum for assigned retirement schemes, covering member onboarding, monthly contribution reconciliation, benefit disbursements, and leaver or exit processing.
- Check and authorise high-value transactions, fund transfers, scheme valuations, and statutory returns, making certain that each action is supported by proper documentation and the correct internal delegation of authority.
- Serve as the primary compliance gatekeeper by monitoring relevant regulatory changes, addressing legislative gaps, and preparing all required files for internal and external audits.
- Organise and facilitate trustee meetings, member education sessions, and annual general meetings, including producing meeting packs, recording decisions, and following up on agreed actions.
- Compile periodic reports that summarise contribution status, benefit claims, funding levels, and upcoming statutory deadlines for senior leadership, boards, and regulators.
- Supervise and develop junior administrators and scheme supervisors through training, workload allocation, quality checks, and regular performance feedback.
- Drive operational efficiency by identifying manual processes for automation, testing system enhancements, and implementing revised workflows that reduce turnaround times and processing errors.
- Act as the senior escalation point for complex member cases and external partner queries, while maintaining productive relationships with clients, custodians, intermediaries, and pension regulators.
Requirements & Qualifications
Academic and Professional Requirements
- Bachelor's degree in Economics, Insurance, Actuarial Science, Statistics, Mathematics, or a closely related business discipline.
- Professional certification such as FSRI, CPSP, AIIK, CPAM, or CIM in retirement benefits, insurance, or a relevant commercial specialisation.
- At least five years of hands-on pension administration experience, with no fewer than two years in a supervisory or team leadership role.
- Detailed understanding of the Retirement Benefits Act and the broader regulatory framework governing pension schemes in Kenya.
- Solid proficiency in Microsoft Excel and the wider Office suite, including the ability to construct reconciliation and reporting templates confidently.

- Proven leadership skills, especially when organising workloads and preserving team accuracy during peak reporting periods.
- Advanced technical capability in pension operations, scheme rule interpretation, and benefits entitlement calculations.
- Strong analytical judgement and meticulous attention to detail, particularly when approving high-value transactions or reviewing fund reports.
- Excellent verbal and written communication skills for managing trustee discussions, member queries, and external regulatory correspondence.
- A demonstrable ability to balance multiple priorities against strict deadlines while upholding high professional integrity and ethical standards in all dealings.
