Role Overview
This position sits within the Retirement Benefits Department of a life insurance organisation, reporting directly to the Assistant Manager of Client Relations. You will be responsible for the day-to-day administration of pension and retirement schemes, making sure every process from member statements to regulatory filings runs accurately and on time. Your work directly supports trustees, employers, and individual members by keeping their retirement funds compliant, well-documented, and professionally managed.
Key Responsibilities
- Respond to client enquiries and service requests promptly and professionally, maintaining a consistently high standard of customer care across all pension scheme interactions.
- Administer Defined Contribution, Defined Benefit, and Hybrid schemes by processing payments, preparing member statements, reconciling accounts, and issuing benefits in line with internal standards and legal requirements.
- Prepare and submit the Quarterly Return of Contributions to the Retirement Benefits Authority (RBA), alongside other statutory filings required by regulators such as the Kenya Revenue Authority (KRA).
- Act as scheme administrator during Board of Trustees meetings by attending sessions, taking minutes, presenting administrative updates, and advising trustees on compliance and operational matters.
- Present Fund Administrators’ Reports at Annual General Meetings and prepare clear, accurate reports for AGMs and quarterly trustee meetings.
- Maintain precise, up-to-date records for all retirement benefit schemes, including member data, contribution histories, and scheme documentation.
- Process pensioner payroll, prepare life certificates and P9 forms, and ensure all member communications and statutory documents are issued correctly and on schedule.
- Support business retention and growth by cross-selling suitable products, pursuing new business leads, and promoting the organisation’s pension offerings to existing and prospective clients.
- Assist new schemes through the registration and licensing process with the RBA and KRA, including drafting Trust Deeds, Rules, Deeds of Adherence, and Service Level Agreements, and updating these documents as required.
- Deliver member education sessions and provide guidance to trustees and members so they clearly understand their scheme’s structure, benefits, and regulatory obligations.
Requirements & Qualifications
- A minimum of a Bachelor’s Degree in Business, Insurance, Actuarial Science, Statistics, Mathematics, or a related discipline.
- At least five years of relevant professional experience, with no fewer than two years working specifically in a retirement benefits administration or similar role.
- Demonstrable progress toward a recognised professional certification such as AIIK, FSRI, or ACII.
- Strong knowledge of retirement benefits regulations, including RBA licensing requirements, KRA obligations, and pension scheme compliance frameworks.
- Solid understanding of Defined Contribution, Defined Benefit, and Hybrid scheme administration, including payroll processing, member statements, and annual reporting.
- Excellent written and verbal communication skills, with the ability to present complex pension information clearly to trustees, members, and regulators.
- High attention to detail and strong organisational skills, enabling accurate record-keeping and timely submission of statutory returns.
- Proficiency in preparing formal minutes, management reports, and board-level documents.
