Job Description

Role Overview

This role, reporting to the Registrar-Academic Affairs, is the central point of accountability for the university’s entire examination cycle — from the moment test papers are drafted to the final release of results and graduation audits. The position holder leads a team that schedules, prints, administers, marks, and verifies assessments while ensuring every step complies with institutional regulations and quality assurance frameworks. The work is mission-critical because it directly protects the credibility and security of all academic awards issued by the university.

Key Responsibilities

  • Direct the planning and execution of all examination sessions, including constructing conflict-free timetables, assigning venues, allocating invigilators, and coordinating secure printing and distribution of examination papers.
  • Manage the entire assessment lifecycle — setting, moderation, secure storage, administration, marking, and results verification — while enforcing strict compliance with academic regulations and quality assurance standards.
  • Oversee the processing, validation, and timely release of examination results, including finalising mark sheets, resolving discrepancies, and coordinating with academic schools on appeals or amendments.
  • Coordinate the appointment and orientation of external examiners in liaison with academic schools, and monitor the follow-through on their recommendations to improve assessment quality.
  • Prepare examination budgets and procurement plans, track expenditure, and ensure cost-effective resource allocation across all examination activities.
  • Develop and deliver training and induction sessions for both staff and students on examination policies, procedures, academic integrity, and expected conduct.
  • Oversee the preparation and auditing of the official graduation list, and work closely with the Records Office to guarantee accurate issuance of transcripts and certificates.
  • Serve as the escalation point for examination irregularities, confidentiality incidents, or procedural breaches, and implement corrective and preventive measures to safeguard institutional credibility.

Requirements & Qualifications

  • A minimum of a Master’s degree from an accredited university; a PhD is an added advantage.
  • A recognised qualification in Education (for example, a postgraduate diploma in education or a Master’s in Education) is an added advantage.
  • A relevant professional certification and active membership in a recognised professional body related to examinations, academic administration, or quality assurance.
  • At least five years of relevant working experience, with a minimum of two years in a supervisory or team-leadership position.
  • Demonstrated track record of managing complex, high-stakes examination processes within a university, examination body, or similar academic setting.
  • Solid understanding of academic regulations, institutional policies, external examiner systems, and quality assurance frameworks.
  • Hands-on proficiency with academic management information systems, including result processing modules, reporting tools, and secure data handling.
  • Strong leadership, team management, and organisational planning skills, with the ability to manage multiple priorities under tight deadlines.
  • Excellent strategic thinking and problem-solving abilities, paired with a high level of integrity, discretion, and professionalism.
  • Advanced computer literacy, including Microsoft Office Suite, data analysis tools, and familiarity with AI-driven productivity applications.
