Role Overview
This role ensures that day-to-day executive operations run smoothly by coordinating schedules, handling communication, and managing essential administrative tasks. You will serve as a reliable support point for leadership, allowing them to focus on strategic priorities while you maintain order in calendars, documents, and stakeholder interactions. Your work directly contributes to the efficiency and professionalism of the entire office environment.
Key Responsibilities
- Organise and maintain leadership calendars, scheduling appointments, meetings, and internal events to avoid conflicts.
- Prepare, format, and distribute official correspondence, reports, and presentations using office software.
- Screen incoming calls, emails, and visitors, directing them to the appropriate person or handling requests independently.
- Coordinate meeting logistics—set agendas, record minutes, and track follow-up tasks to completion.
- Manage both physical and electronic filing systems for employee records and confidential documents.
- Arrange travel itineraries, accommodation, and transportation as needed for team members.
- Monitor office supplies and inventory, placing orders to ensure uninterrupted daily operations.
- Serve as a liaison between departments and external contacts, relaying information accurately and promptly.
Requirements & Qualifications
- Diploma or Bachelor’s degree in Business Administration, Secretarial Studies, Office Administration, or a related field.
- At least one to two years of practical experience as a Secretary, Personal Assistant, or Administrative Assistant.
- Strong command of Microsoft Office Suite—Word, Excel, PowerPoint, and Outlook—for document creation and data management.
- Excellent written and verbal communication abilities, with a professional phone manner.
- Proven organisational skills and the capacity to prioritise multiple tasks under minimal supervision.
- High integrity and discretion when handling sensitive or confidential information.
- Solid customer service orientation and interpersonal skills to interact with diverse stakeholders.
- Keen attention to detail and a proactive approach to problem-solving.
