Role Overview
This graduate role places you at the heart of Tropical Heat’s sales operations, where you will support the team by managing order flows, handling client communications, and keeping administrative processes running smoothly. Your work directly helps the sales department operate more efficiently, freeing up senior staff to focus on revenue-generating activities while you gain hands-on exposure to the full sales cycle in a fast-moving consumer goods environment.
Key Responsibilities
- Process incoming sales orders from initial entry through to delivery confirmation, verifying accuracy of quantities, pricing, and customer details before submitting to logistics.
- Act as the primary contact for clients on order status, delivery timelines, and billing questions, maintaining a professional and helpful tone in every interaction.
- Investigate and resolve routine customer issues—such as shipment discrepancies or delayed deliveries—escalating complex complaints to senior team members as needed.
- Coordinate between the sales department and other internal teams (marketing, finance, inventory, logistics) to ensure orders are fulfilled without bottlenecks and that all departments are aligned on customer requirements.
- Maintain and update sales-related documentation, including customer records, contract terms, and process guides, to ensure clarity and consistency across the team.
- Track inventory levels for key products, flagging low stock or surplus to the relevant teams so that replenishment and promotional planning can proceed on time.
- Manage office supplies and prepare materials for client meetings, product sampling events, or presentations—requesting what is needed and keeping a simple inventory of sales collateral.
- Attend weekly sales meetings, take notes on action items, and contribute ideas for improving day-to-day administrative workflows or customer satisfaction.
Requirements & Qualifications
- Education: Currently enrolled in or a recent graduate (within the last 12 months) of a Bachelor’s degree in Business Administration, Sales, Marketing, or a closely related field.
- Technical Skills: Solid working knowledge of Microsoft Office—especially Excel for data entry and reports, Word for documents, and PowerPoint for presentations. Familiarity with Google Workspace (Sheets, Docs, Drive) and any CRM system is a plus.
- Communication: Clear spoken and written English, comfortable speaking with clients by phone or email and collaborating with colleagues across departments.
- Problem-Solving: Ability to think through operational hiccups—such as a missing order line or a scheduling conflict—and propose practical fixes before needing guidance.
- Core Strengths: Meticulous attention to detail, ability to juggle multiple tasks without losing accuracy, a genuine customer-service orientation, and a proactive habit of asking “what else can I do?” rather than waiting to be assigned.
