Role Overview
This role keeps the sales engine running day-to-day by handling the paperwork, inbox, and schedules that underpin every deal. You will be the person the sales team turns to for accurate client records, timely follow-ups, and a showroom that is always client‑ready. Your work directly affects how smoothly leads move through the pipeline and how professionally the company is perceived at every customer touchpoint.
Key Responsibilities
- Respond to client emails and calls regarding documentation, payment status, refunds, and process steps, ensuring nothing falls through the cracks.
- Prepare, check, and file sales agreements, booking forms, and client records so every file is complete, compliant, and easy to retrieve.
- Monitor deal progress in the CRM, flagging missing documents or stalled steps to the sales team before they become problems.
- Schedule client appointments, site tours, and team meetings, coordinating calendars across departments as needed.
- Support invoicing and payment follow‑ups by liaising with finance and updating records when payments are received or overdue.
- Run regular reports on sales inquiries, pipeline stages, and documentation turnaround times for the sales manager.
- Inspect showrooms and show houses daily to ensure they are clean, stocked with brochures, and set up for client visits or events.
- Coordinate with cleaning and maintenance teams to fix any showroom issues—such as missing materials or cleanliness gaps—immediately.
Requirements & Qualifications
- Bachelor’s degree in business administration or a closely related field (Second Class Upper Division or equivalent).
- Minimum 2–4 years of experience in administrative, operational, or sales support roles.
- Strong track record of managing multiple tasks with high accuracy—no detail too small to double‑check.
- Proven ability to use CRM software and maintain clean, up‑to‑date client data.
- Excellent written and verbal communication skills; comfortable handling client queries with professionalism.
- Ability to prioritise competing deadlines and work independently within a structured sales environment.
- Experience in real estate or a similarly process‑driven sales context is a distinct advantage.
