Role Overview
This position places you at the reception of a corporate mining holding company headquartered in Nairobi, where you act as the first point of contact for visitors, callers, and senior leadership. Day to day, you will keep the front desk running smoothly, manage the main phone lines, prepare meeting spaces for important guests, and support the Executive Assistant with administrative tasks. Your work helps protect the company’s professional image and ensures that executives, investors, and officials receive a seamless experience whenever they interact with the office.
Key Responsibilities
- Greet all visitors upon arrival, verify their identity, issue temporary access passes, confirm signing of confidentiality agreements when necessary, and guide them to the appropriate meeting room or executive office.
- Operate the company’s main telephone system, answer and route incoming calls, screen enquiries for senior staff, and take clear, accurate messages for follow-up.
- Provide a high standard of hospitality to international investors, corporate partners, and government representatives during site visits, making sure their needs are met before, during, and after meetings.
- Manage the booking and setup of conference rooms, including checking schedules, arranging seating and audio-visual equipment, testing video conferencing tools, and organising refreshments.
- Return boardrooms to their agreed standard after each use by removing used materials, turning off equipment, and reporting any maintenance concerns.
- Assist the Executive Assistant with preparing meeting dossiers, visitor information packs, scanning, photocopying, and filing of corporate documents.
- Handle outgoing courier shipments and incoming deliveries, including international express services, and ensure parcels reach the correct departments or individuals.
- Monitor office consumables such as stationery and pantry supplies, raise purchase requisitions when stock is low, and support facility-related coordination with building management.
Requirements & Qualifications
- A bachelor’s degree or diploma in Public Relations, Communications, Hospitality Management, Business Administration, or International Relations.
- At least four years of experience in front-of-house, switchboard, or executive reception work, ideally within a multinational company, corporate headquarters, or a four- or five-star hospitality establishment.
- Strong familiarity with Microsoft 365, including Outlook, Teams, Word, and Excel; practical knowledge of visitor registration software is an added advantage.
- Excellent spoken and written English; knowledge of French or another major international business language is beneficial.
- A polished, professional demeanour and the emotional intelligence to interact comfortably with high-level executives, investors, and public officials.
- A demonstrated record of handling confidential information and sensitive corporate matters with discretion and integrity.
- The ability to handle multiple tasks simultaneously, especially during busy periods when calls, visitors, and meeting requests arrive at the same time.
