Role Overview
This position is the first point of contact for everyone who walks through the office door, and it also controls the flow of incoming calls and messages that keep daily operations moving. You will spend your day balancing front-desk hospitality with behind-the-scenes administrative work, ensuring that visitors feel welcome and that internal teams have the support they need to stay productive.
Key Responsibilities
- Welcome visitors and clients the moment they arrive, assess their purpose, and direct them to the appropriate staff member or waiting area.
- Manage the main phone line by screening incoming calls, capturing accurate messages, and forwarding callers to the right person or department.
- Oversee the flow of correspondence, including emails, physical mail, courier packages, and internal document deliveries.
- Maintain the meeting room calendar, prepare spaces for scheduled appointments, and ensure refreshments or hospitality needs are arranged.
- Keep both digital and paper filing systems organized, update records and registries, and ensure documents are easy to locate when needed.
- Support customer follow-up activities by tracking outstanding requests, sending reminders, and relaying feedback to relevant team members.
- Step in for general administrative duties such as printing, scanning, data entry, and inventory of office supplies when the team needs extra hands.
Requirements & Qualifications
- Prior experience in a receptionist, front-office, or other customer-facing administrative role is required.
- Strong verbal and written communication skills, including a professional and polished telephone presence.
- A warm, confident personality with the ability to interact comfortably with clients, vendors, and colleagues at all levels.
- Solid working knowledge of Microsoft Office applications, especially Word, Excel, and Outlook, plus familiarity with everyday internet research and email tools.
- Excellent organizational skills, with the capacity to prioritize competing requests, maintain accurate records, and manage multiple tasks without losing focus.
- A proactive, dependable work style—someone who spots what needs to be done and takes initiative without being asked.
