Job Purpose
The Human Resources Assistant will provide administrative support to the HR department and assist in the implementation of HR processes and programs. The role is ideal for a recent graduate or early-career professional looking to build experience in recruitment, employee records management, onboarding, training coordination, and general HR administration.
Key Responsibilities
Employee Onboarding & Records
- Support the onboarding process for new hires.
- Prepare employee files and maintain accurate HR records.
- Update employee information in HR systems and databases.
- Ensure all personnel documents are properly filed and maintained.
HR Administration
- Assist employees with routine HR inquiries and requests.
- Prepare HR letters, reports, and other administrative documents.
- Track employees’ leave records and attendance information.
- Support the preparation and organization of HR meetings and activities.
Learning & Development
- Coordinate training schedules and attendance records.
- Assist in organizing employee engagement and wellness initiatives.
- Maintain training databases and records.
Compliance & Policy Administration
- Ensure employee records comply with company policies and statutory requirements.
- Support HR audits and documentation reviews.
- Assist in communicating HR policies and procedures to employees.
Payroll Support
- Collect and compile monthly payroll input information.
- Liaise with employees regarding payroll-related documentation.
Qualification and Experience
Education
- Bachelor's degree in Human Resource Management, Business Administration, Commerce, Psychology, Social Sciences, or a related field.
- CHRP (Certified Human Resource Professional) qualification in progress is an added advantage.
- Membership or student membership with the Institute of Human Resource Management (IHRM), Kenya, is an added advantage.
Experience
- At least 1–2 years of relevant experience in HR, administration, internships, industrial attachment, or office support roles.
- Prior exposure to HR processes through internship or attachment will be an added advantage.
Required Skills and Competencies
Technical Skills
- Basic knowledge of HR practices and employment regulations.
- Proficiency in Microsoft Office applications, particularly Excel and Word.
- Strong administrative and record-keeping skills.
- Ability to prepare simple reports and maintain databases.
