Role Overview
This position sits at the centre of the project office's daily rhythm, keeping a portfolio of client-facing technology engagements and internal programmes moving on schedule and properly documented. Working alongside the Programmes Manager and Project Manager, the Project Assistant converts plans and conversations into tracked actions — refreshing schedules and registers, chasing owners, and making sure nothing agreed in a meeting quietly slips. The work directly shapes how visible, well-evidenced, and audit-ready the organisation's delivery portfolio is at any given moment.
Key Responsibilities
- Coordinate assigned projects and programmes end to end, from initiation and mobilisation through to closure and final record-keeping.
- Keep schedules, milestone trackers, action registers, risk and issue logs, task lists, and delivery calendars accurate and current.
- Organise project meetings — issuing invitations, drafting agendas, circulating pre-reads, and capturing minutes, decisions, action owners, and due dates.
- Follow up with internal teams, customers, partners, and vendors on outstanding actions, dependencies, approvals, and approaching deadlines.
- Draft weekly, monthly, milestone-based, and executive status reports for review before they go out.
- File and maintain project documentation in SharePoint, Teams, and other approved repositories, and help keep templates, checklists, trackers, standard operating procedures, and lessons-learned material up to date.
- Support preparation and administration of project plans, Statements of Work, readiness assessments, migration schedules, communication plans, change requests, closure reports, and completion evidence.
- Track deliverables, resource allocations, customer sign-offs, completion evidence, and portfolio-level updates, including records and delivery evidence tied to Microsoft-funded engagements and voucher tracking.
Requirements & Qualifications
- Bachelor's degree in project management, business administration, information technology, management information systems, or a closely related discipline.
- One to four years of experience in project administration, project coordination, PMO support, operations coordination, or IT project delivery.
- Working knowledge of project schedules, status reporting, risk and issue tracking, action tracking, document control, and governance support.
- Confident day-to-day use of Word, Excel, PowerPoint, Outlook, Teams, SharePoint, and Planner.
- Clear, precise written and verbal communication — able to turn discussions and data into minutes, trackers, and reports that others can act on.
- Strong organisation, sound prioritisation, effective time management, and the discipline to see tasks through to completion.
- High attention to detail and a track record of keeping accurate records across several concurrent projects.
- Exposure to technology delivery environments — Microsoft 365, cloud, cybersecurity, migration, adoption, managed services, or digital transformation — is an added advantage.
- CAPM, PRINCE2 Foundation, Agile Foundation, Scrum Fundamentals, or an equivalent certification is beneficial; Microsoft Fundamentals certifications are looked on favourably when supported by hands-on delivery experience.
