Procurement & Supply Chain Specialist

Role Overview

This position sits at the centre of the company's supply chain, ensuring that goods move from international suppliers to Kenyan delivery points without unnecessary cost or delay. You will own the full procurement-to-delivery cycle — from negotiating with vendors and raising purchase orders to clearing cargo through customs and keeping internal teams informed of shipment status. Getting this right directly protects project timelines and keeps spend within approved budgets.

Key Responsibilities

• Plan and execute purchasing within authorised budget limits, sourcing goods from both local and overseas vendors, comparing quotations, and negotiating pricing and terms.
• Issue purchase orders and follow up on vendor performance, tracking lead times and flagging supply risks before they affect operations.
• Arrange and monitor shipments across sea, air, road, and courier modes, coordinating with freight forwarders to keep cargo moving.
• Process Import Declaration Forms (IDFs) and secure the necessary permits and approvals from bodies such as KRA, KEBS, ACA, and NEMA in line with Kenyan import and export regulations.
• Work closely with clearing agents to speed up cargo release, verify entry accuracy, keep an eye on duty assessments and port charges, and respond to customs queries or holds.
• Maintain up-to-date shipment schedules and stock replenishment plans, anticipating disruptions and putting contingency measures in place.
• Review freight and logistics invoices for accuracy and cost efficiency, challenging discrepancies where they arise.
• Keep physical and digital procurement records complete and audit-ready, and liaise daily with delivery, project, and finance colleagues on incoming goods.

Requirements & Qualifications

• Bachelor's degree in Procurement & Supply Chain Management, Logistics, Business Administration, International Trade, or a comparable discipline.
• At least 3–5 years of hands-on experience spanning procurement, logistics, and import/export operations within Kenya.
• Holding a CIPS, CPSP-K, or similar professional supply chain certification would be a distinct advantage.
• Demonstrated working knowledge of IDF processing and the regulatory workflows of KRA, KEBS, ACA, and NEMA.
• Solid grasp of Incoterms and international trade documentation, with prior experience dealing directly with shipping lines and freight forwarders.
• Strong negotiation ability, sound problem-solving judgement, and the organisational skills to coordinate multiple shipments and stakeholders at once.
