Role Overview
This entry-level procurement role focuses on handling day-to-day operational tasks such as processing requisitions, preparing tender documents, and maintaining supplier records—while ensuring all activities comply with regulatory and organisational standards. Key Responsibilities
- Process purchase requisitions, prepare requests for quotations and tender packages, and follow up on supplier responses.
- Create purchase orders, track approval workflows, and keep internal stakeholders updated on procurement status.
- Maintain accurate supplier databases, support due diligence checks, and monitor contract performance against delivery schedules.
- Assist with inventory control—including stock counts, reconciliations, and replenishment triggers—to keep stores records accurate.
- Ensure all procurement documentation is filed correctly and audit-ready, and help prepare statutory reports and compliance returns.
- Liaise with user departments to clarify requirements and with suppliers to resolve routine queries or escalate performance issues.
- Support contract administration by maintaining registers, tracking milestones, and following up on any non-compliance or delays.
Requirements & Qualifications
- Education: Bachelor's degree in Procurement & Supply Chain Management (or an equivalent qualification from a recognised university).
- Professional affiliation: Registered student member of KISM, actively working toward CPSP-K, CIPS, or an equivalent professional certification.
- Experience: At least one year of relevant work experience in procurement, supply chain, or a closely related administrative role.
- Technical competencies: Knowledge of procurement procedures, contract administration, inventory management, ERP procurement modules, and public procurement principles.
- Behavioural competencies: Strong attention to detail, planning and organisational ability, clear communication, teamwork, customer focus, accountability, integrity, and a willingness to learn.
