Role Overview
This position owns the day-to-day running of the warehouse and stores function, making sure materials — particularly spare parts — move in, get recorded, and are issued out again without gaps in the paperwork or the physical stock. The Stores/Warehouse Supervisor leads the stores team on the floor, keeps inventory records aligned with what is actually on the shelves, and drives down unexplained stock variances before they become costly. The role matters because reliable stores operations keep maintenance and production activities supplied, protect company assets from loss or damage, and give management trustworthy stock and performance data to plan with.
Key Responsibilities
- Direct daily warehouse and stores activity — receiving, put-away, picking, issuing, and dispatch — so that work flows efficiently and every transaction is traceable to a responsible person.
- Supervise, coach, and appraise stores and warehouse staff, setting clear daily priorities, monitoring output, and addressing performance or discipline issues as they arise.
- Monitor stock levels against reorder points and lead times, and investigate and resolve variances between system balances and physical counts.
- Oversee goods receipt, inspection, labelling, and bin or location assignment so that parts are correctly identified and stored where they can be found quickly.
- Maintain accurate store records and keep the inventory management system updated with receipts, issues, returns, and adjustments in real time.
- Enforce stores procedures, standard operating procedures, and inventory-control standards across the team, including segregation of duties and authorisation for stock movements.
- Uphold health, safety, security, and housekeeping standards in the stores area, including safe stacking, clear access routes, and controlled entry to stock areas.
- Identify and report maintenance and repair needs for racking, handling equipment, and storage facilities, and provide accurate stock and operational reports that support management decision-making.
Requirements & Qualifications
- Diploma or degree in Supply Chain Management, Logistics, Stores/Warehouse Management, or a related discipline.
- A minimum of 4–5 years' hands-on experience in warehouse or stores operations, including at least 2 years in a supervisory or management capacity.
- Prior exposure to spare parts or technical stores operations is strongly preferred.
- Solid working knowledge of warehouse operations, inventory control practice, and stock variance management, including the root-cause analysis of discrepancies.
- Good computer literacy with practical experience on inventory or stores management systems, and the ability to keep electronic records accurate and current.
- Demonstrated team leadership, organisational skills, personal accountability, and the ability to prepare clear, timely reports.
- Working understanding of health, safety, and security procedures as they apply to a stores or warehouse environment.
