Job Description

AdaptHealth is seeking an Order Entry Specialist to accurately process patient orders and medical supply requests while maintaining compliance with healthcare regulations and company policies. The role involves entering patient information into electronic health record and order management systems, reviewing physician orders, and ensuring all required information is complete and accurate.

The position also involves coordinating with healthcare providers, clinical teams, insurance companies, and administrative staff to resolve order-related issues. At the lead level, the specialist will also mentor team members, support training, monitor performance, handle escalations, and contribute to workflow improvements while maintaining strict patient confidentiality.

Key Responsibilities:

• Enter patient order information accurately into EHR systems and order management databases.

• Process medical supply requests and prescription orders.

• Verify patient demographics, insurance details, and clinical information.

• Review physician orders for completeness before entering them into the system.

• Document order entries, modifications, and corrections accurately.

• Perform quality checks and follow established procedures for urgent and routine orders.

• Maintain compliance with HIPAA and organizational privacy requirements.

• Coordinate with healthcare providers and clinical staff to clarify orders.

• Contact insurance providers for coverage verification and prior authorization.

• Respond to order status inquiries and escalate complex cases when necessary.

• Maintain electronic and physical documentation systems.

• Generate reports covering productivity, processing times, and operational performance.

• Assist with onboarding and training new employees.

• Lead team meetings and provide guidance on complex cases.

• Monitor team performance and provide coaching and feedback.

• Support process improvements and workflow optimization.

• Coordinate with management regarding staffing, scheduling, and resource requirements.

• Maintain current knowledge of Medicare guidelines, payer policies, and regulatory changes.

Requirements:

• High School Diploma or equivalent is required.

• Associate’s Degree in Healthcare Administration, Business Administration, or a related field is preferred.

• Relevant experience in healthcare administration, insurance, claims, billing, customer service, call centers, or management.

• Experience within healthcare organizations, pharmacies, medical supply, HME, diabetes care, or Medicare-certified services is an advantage.

• Entry-level specialist positions require at least 1 year of work-related experience.

• Senior-level positions require 1 year of work-related experience plus 2 years of directly related experience.

• Lead-level positions require 1 year of work-related experience plus 4 years of directly related experience.

• Strong understanding of basic medical terminology.

• Knowledge of insurance verification procedures.

• Strong attention to detail and organizational skills.

• Ability to manage multiple priorities under time constraints.

• Excellent written and verbal communication skills.

• Professional and confidential approach when dealing with patients and staff.

• Experience with major EHR platforms such as Epic, Cerner, or Allscripts is an advantage.

• Strong knowledge of:

  • HIPAA Compliance and Patient Confidentiality

  • EHR Systems and Healthcare Order Processing

  • Insurance Verification, Medicare Guidelines, and Payer Policies
