Job Title: Operations Officer

Job Location: Nairobi (Overseeing 3 Branches)
An established Automotive Garage is looking to hire an Operations Officer to oversee daily operations across their three automotive service branches in Nairobi. You will be responsible for branch performance, staff supervision, operational efficiency, inventory control, and customer satisfaction, with light support for HR and marketing activities.
Branch Operations Management
Oversee daily operations of all three branches.
Monitor branch performance and address bottlenecks to improve efficiency.
Ensure company procedures and service standards are followed consistently.
Staff Supervision
Supervise Sales Administrators, Team Leaders, and Tyre Technicians.
Coordinate staff schedules and branch assignments.
Address operational issues and escalate HR matters to management.
Staff Performance & KPIs
Develop and monitor monthly KPIs for staff.
Track performance against sales and service targets.
Conduct monthly reviews and provide feedback; submit KPI reports to the Director.
Staff Leave Management
Manage leave days and schedules across branches.
Ensure adequate staffing levels during leave periods.
Maintain accurate leave records and approvals.
Sales Targets & Performance
Develop and distribute branch sales targets.
Monitor performance against targets and provide support where needed.
Prepare and submit operational and sales performance reports.
Customer Relationship Management
Oversee corporate and walk‑in customer management.
Handle escalated complaints and ensure swift resolution.
Maintain professional communication with key clients.
Supplier Coordination
Manage relationships with tyre, parts, and service suppliers.
Coordinate orders, deliveries, and supply arrangements.
Monitor supplier performance and pricing.
Inventory & Merchandise Management
Oversee stock levels across branches.
Ensure accurate inventory tracking and stock transfers.
Monitor ordering and deliveries of merchandise and parts.
Systems & Reporting
Manage operational data using systems such as ERP Next, Wave System, and other tools.
Maintain accurate records and reports for sales, inventory, and operations.
Communication Management
Oversee internal communication channels (staff, supplier, and customer groups).
Ensure smooth information flow between branches and management.
Operational Projects & Coordination
Monitor ongoing operational projects and improvements.
Track deadlines and provide progress updates to the Director.
Coordinate with Finance on operational payments and expenses.
Degree in Business Administration.
Diploma in Human Resources is an added advantage.
Minimum 4–6 years of experience in operations management, preferably in automotive garages, tyre centers, or service workshops.
Proven experience managing multiple branches and teams.
Strong skills in inventory control, reporting, problem solving, and decision making.
Basic understanding of marketing and customer acquisition.
Strong leadership and team management.
Excellent organizational and problem‑solving abilities.
Ability to work with data, KPIs, and operational systems.
Good communication and interpersonal skills.
Monthly gross salary of KES 80,000 plus incentives.
Exposure to managing multiple automotive service branches in a fast‑paced environment.
