Job Description

Role Overview

This position keeps the organisation moving — literally. Working under the Human Resources and Administration Officer, the Logistics Officer cum Driver handles the daily driving needs of the office while also carrying out the practical logistics and record-keeping that surround every trip, from fuel and maintenance tracking to coordinating movement of people, supplies, and documents. Because staff, partners, and programme resources are frequently in transit, this role is a frontline safeguard of both personal safety and organisational assets, and it demands someone who treats punctuality, discretion, and road discipline as non-negotiable.

Key Responsibilities

  • Drive staff, visitors, and partners to field sites, meetings, workshops, and official appointments safely and on schedule, planning routes in advance to account for traffic, weather, and road conditions.
  • Carry out pre-trip and post-trip vehicle checks, including tyres, brakes, lights, fluids, and safety equipment, and escalate any defect before the vehicle is used again.
  • Maintain accurate vehicle records — logbooks, mileage, fuel consumption, service history, and trip authorisation forms — and submit them for review as required.
  • Coordinate routine servicing, repairs, insurance, and statutory inspections, obtaining quotes and keeping the HR and Administration Officer informed of costs and timelines.
  • Run administrative errands such as banking, mail and document delivery, collection of supplies, and payments to vendors, ensuring all items are receipted and accounted for.
  • Assist with logistics for meetings, trainings, and events, including transporting materials, setting up venues, and managing equipment and stores.
  • Apply defensive driving techniques at all times, comply strictly with Kenyan traffic laws, and report any accident, incident, or near-miss immediately.
  • Provide basic first aid and passenger assistance when needed, and support general office administration tasks during periods of low transport demand.

Requirements & Qualifications

  • Technical Diploma in Logistics, Supply Chain Management, Business Management, or Business Administration.
  • Certificate in Supply Chain Management is required; CPA II will be considered an added advantage.
  • At least three years of combined logistics and professional driving experience, preferably gained with non-governmental organisations or donor-funded projects.
  • Solid working knowledge of Kenyan traffic laws, road safety regulations, and common traffic patterns and routes.
  • A valid Kenyan driving licence for the classes of vehicle to be driven, free of any current endorsements.
  • A valid Defensive Driving Certificate from the Automobile Association of Kenya (AA) or an equivalent accredited qualification, from a course lasting not less than one year.
  • A valid Certificate of Good Conduct issued within the last six months.
  • A First Aid certificate from St John Ambulance or Kenya Red Cross, from a course lasting not less than one year.
  • Occupational Trade Test III Certificate.
  • Demonstrated integrity, reliability, and discretion, with a strong sense of responsibility for passenger safety and organisational property.
