Role Overview
You will be the first point of contact for patients visiting the health centre, taking charge of the front office so that every visit begins smoothly and ends with accurate records. Working closely with the Health Centre Manager, you will keep administrative operations running behind the scenes—managing patient flow, handling paperwork, and ensuring the reception area reflects the professionalism of the clinic. Your attention to detail and warm approach directly shape patient experience and allow medical staff to focus on care.
Key Responsibilities
- Welcome patients as they arrive, register their details, and confirm their insurance or medical coverage before their consultation.
- Coordinate and schedule appointments using the clinic’s booking system, balancing patient needs with clinician availability.
- Process billing transactions, issue receipts, collect payments, and follow up on outstanding balances as needed.
- Prepare and submit regular administrative reports, ensuring that patient numbers, payments, and daily activity are accurately captured.
- Monitor petty cash expenditures and prepare supply requisition requests for the Health Centre Manager’s approval.
- Maintain a tidy, welcoming, and professional reception area, restocking forms and keeping patient information organised.
- Respond to phone calls and in-person inquiries, directing questions to the appropriate staff and keeping waiting patients informed.
- Assist with maintaining patient files and updating records, ensuring confidentiality and accuracy at all times.
Requirements & Qualifications
- A Diploma in Business Administration, Management, or a related field from a recognised institution.
- At least 2 years of hands-on experience in a reception, front desk, or customer-facing administrative role, ideally within a healthcare or clinic setting.
- Strong interpersonal skills with the ability to make patients feel comfortable and genuinely heard.
- Clear and professional communication skills, both written and spoken, with the confidence to explain coverage and billing details.
- A self-driven work ethic—you take initiative to keep the front office organised without waiting for direction.
- A warm, welcoming demeanour paired with a collaborative mindset, because you will work closely with nurses, doctors, and support staff every day.
- Basic computer proficiency, including familiarity with scheduling software or the willingness to learn clinic systems quickly.
