Job Description

Role Overview

This role sits within a library and information services department that depends on well-organised collections and accurate records to serve its users effectively. On a daily basis, you will support cataloguing and classification tasks, help maintain journal and publication records, and assist library visitors with reference enquiries and resource navigation. Your work keeps the catalogue current and reliable, ensuring that internal staff and external readers can quickly locate the materials they need across print and digital formats.

Key Responsibilities

  • Support the cataloguing and classification of new acquisitions, including books, reports, and other materials, so they are correctly described and shelved.
  • Assist with digitisation and archival projects, including scanning physical documents, applying consistent file naming, and uploading files to digital collections.
  • Maintain journal and serial records, including verifying ISSN registration details, tracking issue arrivals, and flagging missing or overdue issues.
  • Help deliver front-line reader services by answering directional and reference questions and guiding users to relevant information sources.
  • Perform data entry into library systems to reflect new holdings, edits, withdrawals, and borrower or usage records.
  • Support inter-library loan and document delivery processes by processing requests and updating tracking notes.
  • Contribute to routine administrative duties, such as compiling usage statistics, preparing correspondence, and maintaining department files.

Requirements & Qualifications

  • A bachelor's degree in Library and Information Science, Information Studies, or a related discipline.
  • Basic understanding of cataloguing standards, classification schemes, and bibliographic control principles.
  • Familiarity with library management or integrated library systems such as Koha is an added advantage.
  • Good communication skills, both written and verbal, to interact positively with library users and colleagues.
  • Strong organisational skills with attention to detail in record-keeping and documentation.
  • Proficiency in Microsoft Office applications, particularly Word and Excel, for everyday administrative tasks.
  • Ability to work independently on assigned responsibilities and collaboratively within a team environment.
