Inventory Officer – Security & ICT Projects

Role Overview

This is a Nairobi-based role with a security systems and ICT solutions company, responsible for keeping strict control over all technical stock, from security hardware and network components to cabling and electronic devices. The Inventory Officer connects the procurement team with site engineers, making sure that materials are received, recorded, stored, issued, and reconciled accurately, while preventing shortages, losses, or misallocated stock. Success in this position directly protects project timelines and financial reporting, because every installation depends on knowing exactly what is in the warehouse and where it is going.

Key Responsibilities

• Receive and inspect all incoming deliveries of security and ICT equipment, checking quantities, condition, and specifications against purchase orders and delivery documentation.
• Update the central inventory system promptly with goods received notes, material issue vouchers, transfers, and return-to-vendor records.
• Run regular physical stock counts and full warehouse audits, investigate any differences between physical stock and system data, and document corrective adjustments.
• Prepare materials for active project sites based on bills of quantities, setting aside CCTV cameras, access control units, fire sensors, networking devices, and other required hardware for scheduled installations.
• Monitor project material consumption and ensure any unused or leftover site items are returned to the warehouse, reconciled, and attributed to the correct project account.
• Support finance by maintaining accurate inventory valuation data and producing reports on stock turnover, aging stock, slow-moving items, and purchase trends.
• Assist internal and external auditors by providing complete stock transaction histories, variance summaries, and reconciliation records during verification exercises.
• Maintain an organised warehouse layout, clear labelling, and safe storage conditions for sensitive electronic components, while enforcing internal handling and safety guidelines.

Requirements & Qualifications

• Bachelor’s degree in Supply Chain Management, Procurement, Logistics, Business Administration, Accounting, Finance, or a closely related discipline.
• At least 2 years of practical inventory management, storekeeping, warehouse operations, or stock control experience, ideally within security systems, ICT, telecommunications, electronics, engineering, or construction.
• Working knowledge of an ERP or inventory management platform such as Zoho Inventory, SAP, Microsoft Dynamics, or Odoo.
• Advanced Excel capability, including pivot tables, formulas, and lookup functions for analysing stock data and identifying discrepancies.
• Familiarity with common technical materials such as structured cabling, fibre optics, networking hardware, access control systems, and CCTV equipment.
• Based in Nairobi, or fully available to work from Nairobi without relocation restrictions.
• Preferred: CPA Part II or above, CPSP-K, or a recognised certification in warehousing or inventory management.
• Preferred: proven experience supporting multi-site project deployments and field engineering material allocations.
