Role Overview
You will be the operational backbone of stock integrity for a multi-location inventory ecosystem, ensuring every unit—from inbound OEM deliveries to customer-facing loaner bikes—is accounted for in real time. Working on-site across Nairobi and Mombasa and reporting to the Inventory Manager, you will reconcile physical stock against ERP records, document every movement, and resolve discrepancies before they snowball into financial or operational issues. This role is critical because inventory accuracy directly drives dispatch reliability, refurbishment turnaround, and audit readiness.
Key Responsibilities
- Oversee inbound shipments by physically counting units against Purchase Orders and delivery notes, then posting the receipt into D365 with correct serial numbers, chassis numbers, and item codes without delay.
- Process all outbound activity—including stock issues, interbranch transfers, returns, and system adjustments—in D365 and Zoho CRM, while producing accurate transfer notes and dispatch confirmations.
- Maintain a live, synchronised view of stock positions across both ERP and CRM systems, targeting a 99% or higher accuracy rate on every movement category.
- Execute cycle counts on a rotating schedule and participate in full monthly physical stocktakes, submitting variance reports within agreed SLAs and investigating the root cause of recurring discrepancies.
- Manage the full returns lifecycle for battery units—from inspection and condition assessment to quality checks and reclassification into sellable stock—while keeping complete traceability of each returned item.
- Track free-trial and loaner bike inventory separately, monitoring allocation dates, return schedules, unit condition, and system status to ensure no asset is lost or misused.
- Maintain a complete, audit-ready documentation trail including goods received notes, delivery notes, transfer records, reconciliation schedules, and variance reports for every stock transaction.
- Generate daily inventory reports highlighting movements, exceptions, and unresolved open items, and recommend process improvements that prevent errors rather than merely correcting them.
- Collaborate with the finance team during monthly reconciliations, external audits, and internal compliance checks by supplying accurate records and explaining any residual variances.
Requirements & Qualifications
- Bachelor's degree or diploma in Supply Chain Management, Business Administration, Engineering, or a related discipline.
- 2–4 years of hands-on experience in inventory management, stock control, or an operational role where you owned physical asset tracking.
- Practical ERP experience—Microsoft Dynamics 365 (D365) is strongly preferred, but other modern ERP platforms will be considered if your fundamentals are solid.
- Intermediate to advanced Excel skills, including pivot tables, lookups, and formatting for inventory reporting and variance analysis.
- A clear grasp of core inventory principles: FIFO, serial and batch tracking, cycle counting methodology, and basic stock valuation.
- Strong attention to detail at the unit and serial-number level, with a proactive approach to flagging mismatches before they become systemic problems.
- A driving licence and willingness to work across the Nairobi and Mombasa sites as required (if applicable to your location).
- Nice-to-have: experience in automotive, electric vehicle, or mobility industries, and familiarity with Zoho CRM as a supplementary system.
