Role Overview
Our firm needs a detail-driven intake and administrative support professional to keep our client onboarding and case-processing workflow moving without friction. In this role, you will be the person who ensures every piece of signed paperwork, every missing signature, and every document tucked into a case file is accounted for, accurate, and ready for the legal team to act on. Your daily work directly affects how quickly clients get served and how confidently our attorneys can rely on the records they receive.
Key Responsibilities
- Respond to a high volume of intake-related requests each day, prioritizing and triaging needs across multiple active cases.
- Proactively follow up with clients on signed retainers, W-9 forms, and other required documentation to eliminate processing bottlenecks.
- Conduct outreach to obtain missing information, clarify incomplete submissions, and capture necessary signatures.
- Audit intake files for accuracy, completeness, and compliance before they move to the legal team.
- Proofread client-facing correspondence, intake forms, and legal documents to catch errors before release.
- Listen to recorded intake calls to gather details that were not captured and to support quality-control reviews.
- Scan, upload, organize, and maintain case documents in the firm's case management systems.
- Prepare, print, scan, and mail legal correspondence and drop letters while keeping clear logs of outgoing materials.
- Assemble client care packages and other administrative materials that keep the client experience polished.
- Maintain accurate and current client records and support intake and legal teams with timely, consistent case processing.
Requirements & Qualifications
- Bachelor's degree required, with current enrollment or completion in Law, Legal Studies, Paralegal Studies, Political Science, Criminal Justice, or a related discipline.
- Prior experience working in a law firm is required; candidates without direct firm exposure will not be considered.
- At least one year of hands-on experience in intake, legal administration, legal support, case management, or client services.
- Strong ability to manage a high volume of detail-oriented tasks without losing accuracy.
- Excellent written and verbal communication skills for client outreach and document proofing.
- Comfortable working within case management systems and scanning/uploading documentation daily.
- Ability to work independently, prioritize competing deadlines, and collaborate effectively with both intake and legal teams.
