Job Description

Role Overview

This internship places you inside the Information Management unit of a major humanitarian organisation, working from Nairobi to support data systems used by regional and country programmes. Day to day, you will help maintain databases and dashboards, prepare data for analysis and reporting, build visual outputs such as maps and charts, and respond to staff queries about the tools they use. Your work matters because reliable, well-organised information is what allows programme teams to make timely, evidence-based decisions and to learn from what is and is not working in the field.

Key Responsibilities

  • Keep information management systems, databases, and dashboards current, accurate, and aligned with internal standards across projects and departments.
  • Build and document data collection tools, templates, and supporting guidance, and help standardise how information is captured and stored.
  • Compile, clean, validate, and structure data coming from multiple programme sources, ensuring it is ready for analysis and reporting.
  • Prepare routine and ad-hoc reports, data visualisations, maps, and dashboards for both internal and external audiences.
  • Perform regular data quality checks to catch inconsistencies, duplicate records, missing entries, and other issues that undermine reliability.
  • Develop user guides, training materials, and standard operating procedures, and help deliver orientation sessions on data collection and reporting platforms.
  • Monitor reporting deadlines, consolidate information from different country offices and technical teams, and maintain organised digital records and repositories.
  • Handle all data activities in line with the organisation's data protection, confidentiality, and information security policies, and suggest improvements to data management practices when relevant.

Requirements & Qualifications

  • A minimum of one year of experience in information management, database design or administration, or in information management roles within development projects run by international or national NGOs or United Nations agencies.
  • Working knowledge of data analysis and database tools, including Excel, SQL, Access, Power BI, or another statistical software package.
  • Strong understanding of database systems, including their design, management, administration, and the ability to write and run queries.
  • Experience with GIS mapping and spatial analysis tools is an added advantage.
  • Familiarity with M&E processes and data collection platforms such as Kobo, ODK, SurveyCTO, or CommCare.
  • Demonstrated experience in training or building the capacity of colleagues on information management systems and data collection workflows.
  • Analytical thinking, problem-solving skills, and attention to detail, with the ability to spot errors and inconsistencies in complex datasets.
  • Strong verbal and written communication, collaboration skills, and the ability to work well within diverse and multidisciplinary teams.
  • Proven organisational skills, including managing multiple tasks and meeting deadlines in a fast-moving environment.
  • A university degree in computer science, data science, programming, information management, information technology, or a related field. A certificate in programming languages is desirable.
  • Fluency in written and spoken English.
