Job Description

Role Overview

As the Human Resources Officer based in Nairobi, you will serve as the on-site HR lead for our client, taking end-to-end ownership of all people-related processes and administrative functions. Your day-to-day work involves managing the full employee lifecycle—from recruitment and contract issuance through onboarding, performance reviews, attendance tracking, and exit procedures—while also acting as a trusted point of contact for staff concerns. Beyond HR administration, your ability to build strong working relationships and deliver excellent service directly supports client retention and the overall success of our partnership.

Key Responsibilities

  • Leave Management: Review, approve, and track leave requests for direct staff, ensuring accurate balances and minimal disruption to daily operations.
  • Employee Onboarding: Coordinate a smooth arrival experience for new hires, including preparing employment contracts, collecting required documentation, and introducing them to client policies and team members.
  • Employee Relations: Serve as the primary contact for employee questions, grievances, and conflicts, providing fair guidance and helping to maintain a respectful, productive workplace culture.
  • Performance Management: Support the appraisal cycle for direct staff by scheduling reviews, collecting input, and ensuring managers and employees follow the agreed evaluation process.
  • HR Data Management: Keep personnel files, attendance records, leave logs, training histories, and other HR data accurate, complete, and up to date for audit and reporting purposes.
  • Payroll Processing: Ensure pay is calculated and delivered correctly by verifying timesheets, submitting salary adjustments and deductions, and resolving payroll queries in a timely manner.
  • Compliance and Legal Requirements: Monitor changes in Kenyan labour legislation and internal policies, ensuring all employment practices and documentation meet legal and organisational standards.
  • Client Retention and Growth: Strengthen the client relationship by delivering reliable, proactive HR support that adds value while identifying opportunities to improve service and expand the scope of work.

Requirements & Qualifications

  • A minimum of three years of hands-on experience as an HR practitioner or in an operations role within a fast-paced, dynamic business environment.
  • A bachelor's degree in Human Resource Management, Business Administration, or a related discipline from a recognised institution.
  • Demonstrated organisational and time-management skills with the ability to prioritise competing HR and administrative demands.
  • Working proficiency with Google Suite, Microsoft Office, and HRMIS platforms, including the confidence to learn new systems quickly.
  • Strong written and verbal communication skills, with the ability to interact effectively with employees at all levels and from diverse backgrounds.
  • A practical, solution-focused approach to resolving operational and people-related challenges efficiently.
  • Familiarity with Kenya's Employment Laws and labour regulations is preferred.
  • A track record of taking ownership, delivering results, supporting team success, and adapting positively to change.
  • Excellent attention to detail and sound people-management capabilities, with the professionalism to handle sensitive matters discreetly.
