Role Overview
This role sits at the centre of people operations for a manufacturing business based in Mlolongo, Machakos County, covering everything from hiring production and support staff to settling grievances on the shop floor and keeping disciplinary action within the bounds of Kenyan employment law. Reporting to the Human Resource Manager, the officer is the first port of call for supervisors and employees alike, turning written policy into everyday practice across factory shifts and administrative offices. Done well, the position keeps the workforce steady, cuts down avoidable disputes, and ensures the organisation remains ready for statutory inspections and audits at any time.
Key Responsibilities
- Run end-to-end recruitment: advertising vacancies, shortlisting applicants, coordinating interview panels, verifying references and credentials, and delivering induction sessions for new joiners.
- Keep personnel files, employment contracts, confirmation letters and leave registers complete, up to date and strictly confidential, in both physical records and the HR system.
- Monitor daily attendance, shift movements and absenteeism trends, and maintain a live candidate pipeline for hard-to-fill production roles.
- Respond to employee queries and grievances, mediate disagreements between colleagues or between staff and supervisors, and escalate matters where a fair resolution cannot be reached locally.
- Coordinate disciplinary proceedings — show-cause notices, hearing panels and outcome letters — applying internal rules and Kenyan labour legislation evenly across all teams.
- Support labour inspections, compliance audits and the upkeep of statutory registers, flagging gaps before they become findings.
- Administer appraisal cycles for factory and office divisions, help line managers set measurable performance targets, and track formal Performance Improvement Plans through to conclusion.
- Produce regular HR reporting on headcount, attendance, leave utilisation, turnover and recruitment timelines, and coach supervisory staff on HR policy and procedure.
Requirements & Qualifications
- A bachelor's degree or diploma in Human Resource Management, Business Administration or a closely related field.
- Three to five years of progressive generalist HR experience, ideally gained within a manufacturing or industrial setting.
- Practical command of Kenyan labour laws, employment legislation, statutory deduction rules and workplace disciplinary frameworks.
- Confidence using Microsoft Office, particularly Excel and Word, alongside modern HR Information Systems.
- Demonstrated skill in mediation, conflict resolution, active listening and clear communication with employees at every level.
- A track record of handling sensitive personnel matters with fairness, discretion and strict confidentiality.
