Accurate documentation, timely follow-up and reliable HRIS data are important to the smooth running of the department and to employees’ experience throughout their time with the organisation.
Key Responsibilities

- Respond to day-to-day requests from employees and line managers, and provide administrative support to HR and the wider business when needed.
- Take part in interviews for junior retail and warehouse positions, then coordinate new-hire reference-check documents with candidates and the screening provider, following up for completed reports.
- Prepare and maintain complete employee files for new starters, checking documents against the required checklist and scanning records into OneDrive.
- Arrange pension and medical scheme enrolments for confirmed employees, ensuring forms and supporting documents reach the relevant providers on time.
- Coordinate employee exits, including separation letters, certificates of service, exit forms, final-dues acknowledgements and pension withdrawal or transfer paperwork.
- Track internal moves and ensure signed mobility letters are stored in both physical and digital employee files.
- Maintain time-and-attendance information in the HRIS, checking data for payroll processing; update shared trackers covering hires, probation, exits, disciplinary matters, leave and related HR activity.
- Manage HR document filing, coordinate monthly birthday acknowledgements, and assist with disciplinary, occupational safety and health, WIBA documentation and departmental projects as assigned.
