Position Context
We are seeking a highly organized, confidentiality-minded Human Resource Assistant to provide vital operational support across our large-scale agricultural workforce pipelines. Your primary focus is to anchor the administrative integrity of the HR department, maintaining flawless physical and digital employee documentation from early onboarding through to active contract tracking. This position bridges rigorous compliance management with high-touch employee welfare coordination; you will manage every variable from compiling daily field attendance and overtime inputs for payroll runs to facilitating interview processes and tracking statutory leave allocations. The role calls for a structured, law-abiding professional who possesses deep familiarity with Kenyan labor frameworks and thrives when balancing fast-paced workforce logistics.
Operational Functions
Records Authentication & Data Integrity
- Maintain accurate, highly confidential, and meticulously indexed physical personnel binders and electronic HR information system databases.
- Draft routine corporate HR documentation, including conditional employment offers, contract extensions, localized transfer notifications, and certified leave letters.
- Execute thorough pre-employment credential verifications and reference reviews to safeguard institutional hiring benchmarks.
- Archive completed performance appraisals, disciplinary logs, and medical insurance updates methodically to ensure immediate audit readiness.
Talent Acquisition & Staff Integration
- Organize incoming job applications, filtering portfolios against basic entry criteria to build clean candidate shortlists for review.
- Coordinate recruitment interview logistics, generating interview panel packs, booking boardrooms, and communicating schedules to candidates.
- Spearhead the end-to-end employee onboarding workflow, ensuring fresh field and administrative hires complete critical policy sign-offs.
- Track the timely execution of probation reviews, flags, and confirmation filings ahead of corporate deadlines.
Timekeeping, Leave & Payroll Synthesis
- Manage daily workforce attendance logs, clock-in rosters, and multi-department timekeeping entries to ensure tracking accuracy.
- Process leave applications against accrued balances, maintaining an active register of annual, sick, and compassionate leave days taken.
- Compile and cross-reference monthly payroll variables, delivering audited overtime registers, unpaid leave reductions, and bonus adjustments to finance.
- Investigate and resolve routine employee payment or time-log queries, escalating complex errors to the Human Resource Officer promptly.
Relations, Welfare & Statutory Compliance
- Serve as an accessible, professional point of contact for staff inquiries regarding internal HR regulations and benefits.
- Support the scheduling and execution of occupational health and safety drills, wellness initiatives, and corporate team-building events.
- Audit administrative workflows continuously to ensure perfect alignment with the Employment Act and modern Kenyan labor statutes.
- Generate weekly workforce statistics, tracking headcount movements, absenteeism percentages, and demographic changes for management review.

Minimum Entry Criteria
- Academic Foundation: Bachelor’s degree in Human Resource Management from an accredited institution.
- Professional Credentials: Valid, active registration as a member of the Institute of Human Resource Management (IHRM). Possession of or progression toward a Certified Human Resource Professional (CHRP) certificate is a major advantage.
- Field Longevity: Minimum of 3 years of progressive, hands-on experience handling HR administration within an agricultural enterprise, large production plant, or fast-paced corporate firm.
- Legal Acuity: Strong operational understanding of the Kenyan Employment Act, occupational health and safety codes, and modern workplace standards.
- Digital Toolkit: High proficiency navigating standard HR Information Systems (HRIS) alongside advanced Microsoft Office suites (Excel, Word, PowerPoint).
