Role Overview
This position is the administrative backbone of the HR function, handling the daily flow of employee records, contracts, leave, attendance and payroll inputs while supporting hiring, onboarding and the routine questions employees bring to HR. The person in this seat keeps the employee lifecycle running accurately and on time, which protects the organisation from compliance and record-keeping risk in a demanding operational setting. Because the business operates in oil and gas, industrial or renewable energy environments, the work calls for steadiness, discretion and a service-first approach under pressure.
Key Responsibilities
- Own the employee record-keeping cycle — personnel files, contracts, employment letters, HR forms and correspondence — and keep trackers current for headcount, probation dates, contract expiries, leave, attendance, recruitment activity and staff movements.
- Run recruitment logistics end to end: arranging interviews, corresponding with candidates, preparing recruitment documents, following up on reference checks and confirming pre-employment requirements, while keeping the manpower tracker and status updates flowing to the HR Manager.
- Guide new hires through onboarding, making sure joining paperwork, induction and orientation are completed and properly filed.
- Administer leave and attendance: process applications, monitor balances, watch for absenteeism patterns and escalate issues that need attention.
- Feed accurate monthly employee changes into payroll, verify leave and attendance inputs, and coordinate with Finance on payroll-related administration and external service providers.
- Maintain benefits records such as medical cover, help employees with routine benefit questions, and keep benefit documentation aligned with provider requirements.
- Act as the first point of contact for everyday HR queries, explain policies and procedures clearly, support the documentation of disciplinary and grievance matters, and refer complex employee relations cases upward.
- Keep the HRIS/ERP system accurate, produce routine headcount, employee movement and statistical reports, organise training and development logistics, track mandatory certifications, and support engagement, welfare and HR project activities as assigned.
Requirements & Qualifications
- Bachelor's degree or Diploma in Human Resource Management, Business Administration or a related discipline.
- CHRP qualification or ongoing CHRP training is preferred; membership of a recognised HR professional body is an added advantage.
- At least five years of progressive experience in human resources or HR administration, gained within the oil and gas, industrial or renewable energy sectors.
- Demonstrated hands-on coverage of recruitment, onboarding, employee records, leave and attendance administration, payroll support, employee benefits and general HR operations.
- Familiarity with an HRIS/ERP system is an advantage, alongside a solid grasp of HR administration and employee lifecycle processes.
- Working knowledge of Kenyan employment legislation and HR compliance requirements, including the documentation needed for internal and external audits and regulatory reviews.
- Strong record-keeping, document management and reporting skills, with proven experience maintaining HR trackers, employee databases and routine HR reports.
- Proficiency in Microsoft Word, Excel and other Office applications.
- Unwavering confidentiality and discretion when handling sensitive employee information, with high attention to detail, accuracy, follow-through and time management.
- Excellent communication, interpersonal, organisational and stakeholder management skills, plus the ability to work independently with minimal supervision and support employees at every level.
