Job Description

Role Overview

This HR Officer position sits within a well-established laboratory equipment and medical supply distribution company based in Ngara, Nairobi. You will run the day-to-day human resources function end-to-end, covering everything from sourcing and onboarding new staff to preparing payroll data and keeping the business aligned with Kenyan employment law. Your work directly supports a smooth, compliant, and people-focused operation where employees feel guided from their first interview through every stage of their employment.

Key Responsibilities

  • Manage the full recruitment cycle: drafting vacancy announcements, screening CVs, coordinating interview schedules, and keeping candidates informed at every step.
  • Prepare employment contracts and new-hire paperwork, then run structured onboarding sessions that introduce new employees to company policies, procedures, and expectations.
  • Maintain both physical and electronic personnel files with strict confidentiality, ensuring all employee records are accurate, current, and secure.
  • Compile monthly payroll inputs by capturing statutory changes, overtime, deductions, new joiners, and exit settlements, then partner with finance to resolve any payroll queries.
  • Track attendance and absenteeism, process leave requests, and keep up-to-date leave balances for every member of staff.
  • Act as the first point of contact for employee questions and workplace concerns, offering practical HR support and guidance when issues arise.
  • Support disciplinary hearings and grievance procedures, ensuring every case follows company policy and the legal requirements of Kenyan labour law.
  • Assist with performance appraisals, identify training gaps, and help coordinate professional development initiatives that build team capability.

Requirements & Qualifications

  • A Bachelor’s Degree in Human Resource Management, Business Administration, or a related field is required.
  • A CHRP-K qualification or active progress toward CHRP certification is a strong advantage.
  • At least two years of practical HR experience in an Officer, Assistant, or generalist capacity, preferably within a distribution, medical supply, or similar operational environment.
  • Solid working knowledge of the Employment Act of Kenya, including statutory compliance, grievance handling, and record-keeping obligations.
  • Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint; experience using HRIS or payroll software is beneficial.
  • Strong written and verbal communication skills, especially for interviewing, conducting orientation, and resolving sensitive staff matters.
  • Excellent organisational skills with meticulous attention to detail in payroll calculations, audits, and personnel documentation.
