Role Overview
This internship sits inside a busy HR department during a significant period of change, as the organisation moves its people data onto a new Human Resource Information System. You will be actively involved in making that implementation work, helping to shape how records are structured, checking the system during testing, and supporting colleagues once it is live. Alongside this project, you will get hands-on experience in core HR administration, especially tracking contracts and letters and making sure nothing slips through the cracks.
Key Responsibilities
- Act as the main point of contact between the HR team and the HRIS vendor or developer, clearly passing on requirements, flagging faults, and following up on fixes.
- Help prepare employee data for migration into the new system by cleaning up records, formatting spreadsheets, and verifying that information is accurate and complete.
- Run user acceptance tests on the HRIS, document any issues or inconsistencies, and support the training of HR staff and other employees once the system is ready to use.
- Monitor the HRIS after launch to confirm it operates smoothly in daily use, escalating technical problems to the developer when needed and helping users resolve simple queries.
- Keep a central tracker of employment letters, signed contracts, and renewal dates, proactively alerting the HR team before any expiry dates approach.
- Draft standard HR correspondence such as offer letters, confirmation letters, and renewal notices, ensuring they are ready for review and final sign-off.
- Support general HR administration including filing, record upkeep, data entry, and assisting with onboarding and offboarding tasks.
- Take on additional administrative duties within the HR department as priorities shift and deadlines demand.
Requirements & Qualifications
- A diploma or bachelor’s degree in Human Resource Management from a recognised university in Kenya.
- At least one year of relevant experience in an HR internship or an entry-level HR position.
- Prior exposure to or hands-on use of an HRIS is essential, so you should be comfortable navigating HR software rather than learning about it only in theory.
- Ability to work effectively in a fast-paced environment, prioritising tasks without losing attention to detail.
- Experience within the technology sector is an advantage but not a requirement.
- Strong written and verbal communication skills, with the confidence to interact with colleagues at all levels.
- Genuine curiosity and willingness to learn new systems, processes, and tools quickly.
- Excellent organisational and time-management skills, especially when managing multiple project tasks and routine admin duties at once.
- A high degree of discretion, integrity, and confidentiality when handling sensitive employee data.
- Solid proficiency in MS Office, particularly Word, Excel, and Outlook.
