Role Overview
You will be the operational backbone of our people team, handling the day-to-day administrative tasks that keep the employee lifecycle moving smoothly. From preparing new-starter paperwork to maintaining accurate personnel files and supporting internal training sessions, your work directly contributes to a well-organised, engaged workforce. This is a hands-on role where attention to detail and a professional, service-oriented approach make a tangible difference to the whole organisation.
Key Responsibilities
- Coordinate the full onboarding process for new employees, including preparing offer letters, induction schedules, and probation review paperwork, and acting as the first point of contact for new-joiner queries.
- Maintain and update employee records across digital and physical filing systems, ensuring data accuracy, completeness, and compliance with internal policies.
- Prepare HR documentation such as employment confirmations, contract amendments, and reference letters, and support the drafting of routine correspondence.
- Assist with HR reporting by compiling data on headcount, absence, and staff turnover, and producing monthly summaries for management review.
- Support staff engagement initiatives, including organising team events, collating survey feedback, and helping to communicate internal announcements.
- Coordinate training activities by booking venues or virtual sessions, tracking attendance, and maintaining a central log of completed courses and certifications.
- Provide administrative support throughout the recruitment cycle, including scheduling interviews, liaising with candidates, and conducting reference checks.
Requirements & Qualifications
- Diploma or degree in Human Resources, Business Administration, Psychology, or a closely related discipline.
- At least one year of experience in an administrative role, ideally with exposure to HR processes, recruitment, or employee records management.
- Strong written and verbal communication skills, with the ability to interact discreetly and professionally with employees at all levels.
- Excellent organisational and time-management skills, capable of juggling multiple priorities and meeting deadlines in a fast-paced environment.
- Proficiency in MS Word and Excel, including experience with mail merges, basic formulas, and formatting documents to a high standard.
- A commitment to maintaining confidentiality and handling sensitive personal data with care and integrity.
