Role Overview
This operations-focused position sits within a benefits team and centres on the day-to-day administration of retirement plans for clients. You will spend your time managing member enrollments, processing contribution transactions, reconciling data against provider records, and resolving any inconsistencies that arise. Your attention to detail directly supports client compliance and ensures that every retirement contribution is accurately tracked, reported, and received on time.
Key Responsibilities
- Process benefit enrollments, updates, and terminations in the administration system based on employee and employer instructions.
- Handle retirement plan contributions end to end, including recording transactions and following up with providers to confirm receipt.
- Investigate and resolve discrepancies in contribution amounts, payroll data, and plan records, documenting each resolution clearly.
- Create, modify, and close retirement plan records and loan entries in line with authorised client requests.
- Execute corrections and adjustments by calculating the impact on employee and employer contributions, then applying changes in the system.
- Maintain tracking tools and payment logs so that all transaction history is current, auditable, and easy to review.
- Respond to inbound questions from internal colleagues and external clients through email, support cases, and assigned work queues.
- Support special projects related to retirement process improvements or client implementations, and step in for team members as needed.
Requirements & Qualifications
- Technical degree, associate degree, or active coursework in Human Resources, Business Administration, Accounting, or a closely related field.
- Intermediate English proficiency in reading, writing, and speaking to communicate clearly with clients and team members.
- Intermediate Microsoft Office skills, especially Excel or other spreadsheet tools used for reconciliations and tracking.
- At least six months of workplace experience in any administrative or operational role.
Preferred experience: prior exposure to benefits administration, HR processes, general administrative duties, customer service, data management, or reconciliation work is a strong plus.
