Role Overview
This is a hands-on support position within the human resources team, where you will keep the department running smoothly by managing employee documentation, coordinating interview logistics, and supporting disciplinary and induction processes. You will act as the central point of contact for paperwork flow, ensuring new hires are properly onboarded and all staff records are complete, compliant, and easy to retrieve. Your attention to detail directly affects the accuracy of HR records and the efficiency of daily operations.
Key Responsibilities
- Create and maintain physical and digital staff files for all employees, systematically following up on missing or expired documents until every file is complete.
- Ensure all correspondence, forms, and records received by HR are filed on the same day, keeping the department organised and audit-ready at all times.
- Coordinate interview scheduling by inviting shortlisted candidates, confirming availability, and notifying the relevant hiring managers of interview times.
- Track probationary periods for new staff and proactively request all outstanding documentation before confirmation of employment is processed.
- Draft disciplinary correspondence, attend disciplinary hearings as HR support, and prepare accurate minutes that capture decisions and action points.
- Scan procurement requisitions, forward them to the Procurement team, and log each request in the requisitions book so progress can be easily monitored.
- Assemble induction packs for new joiners, ensuring they contain all policy documents, forms, and introductory materials needed for their first week.
- Monitor staff attendance records, flag discrepancies, and compile periodic reports on attendance and other HR metrics for management review.
Requirements & Qualifications
- A degree in Human Resource Management or a directly related field.
- At least one year of experience working in an HR administrative or assistant role, with demonstrated exposure to staff files, recruitment support, or HR record keeping.
- Strong computer literacy, including proficiency in Microsoft Word and Excel for drafting letters, maintaining spreadsheets, and tracking documentation.
- Excellent organisational skills with the ability to prioritise multiple tasks and meet deadlines without losing accuracy.
- Proven discretion and confidentiality when handling sensitive employee information and disciplinary matters.
- High integrity and sound interpersonal skills, enabling you to interact professionally with staff at all levels and maintain trust across the organisation.
