Role Overview
This position stewards a grant through its entire arc — from the first proposal draft to the final close-out report — so that donor-funded projects deliver what they promised, on schedule and within the rules. Day to day, the officer keeps agreements, reporting calendars, and compliance trackers current, draws together contributions from program, finance, and monitoring colleagues, and gives delivery teams straight answers about what a donor contract actually requires of them. The work matters because it protects both funding relationships and institutional reputation: disciplined grant administration keeps money flowing, audits clean, and programme staff focused on their mandate rather than on avoidable paperwork problems.
Key Responsibilities
- Own a portfolio of grants from award through close-out — maintaining agreements, implementation plans, reporting calendars, compliance trackers, and grant files, and shepherding amendments, budget revisions, no-cost extensions, and close-out paperwork to completion.
- Read donor agreements closely and translate contractual obligations into plain, actionable guidance that program and finance colleagues can apply to their daily work.
- Monitor adherence to donor regulations, internal policies, safeguarding standards, and statutory requirements, and support donor monitoring visits, audits, and compliance reviews, including follow-through on corrective actions.
- Drive preparation of narrative and financial donor reports — compiling inputs from program, finance, and MEAL teams, checking them for completeness and consistency, tracking reporting schedules, and ensuring submissions land ahead of donor deadlines.
- Partner with the finance team to track expenditure against approved budgets, spot actual or projected variances, and manage reallocations, budget revisions, and the related donor approval processes, keeping records audit-ready.
- Convene program, finance, MEAL, communications, and procurement colleagues around grant review meetings, milestone and deliverable tracking, and timely resolution of implementation bottlenecks.
- Support proposal development and resource mobilization by coordinating submission timelines, assembling technical, cost, and operational inputs, screening drafts against donor requirements, and maintaining templates, institutional reference information, and funding opportunity databases for portal submissions.
- Strengthen the organization's grant systems by documenting lessons learned and emerging challenges, refreshing tools, templates, and standard operating procedures, and orienting staff on donor regulations and sound grant management practice.
Requirements & Qualifications
Education and credentials
- Bachelor's degree in project management, business administration, finance, development studies, international relations, public administration, or a comparable field.
- A professional certification in grants management, project management, monitoring and evaluation, or a related discipline is an added advantage.
Experience
- Three to five years of relevant experience in grants management, donor compliance, proposal development, project administration, or programme support within the NGO or development sector.
- Demonstrated experience coordinating donor-funded projects and administering institutional donor grants.
- A track record of preparing donor reports and contributing to proposal development processes.
- Experience working collaboratively across program, finance, MEAL, procurement, and operations functions.
