Role Overview
This role serves as the records and returns specialist for Navy food service accounting, maintaining the accuracy and compliance of financial documentation across both digital and paper-based systems. On a typical day, the specialist works inside the Food Service Management (FSM) platform to build records, reconcile balances, prepare returns, and submit required reports within Navy timelines. The position is critical because reliable food service accounting supports audit readiness, fiscal accountability, and informed decisions by food service leadership.
Key Responsibilities
- Maintain manual and automated Navy food service accounting records so they remain complete, accurate, and compliant.
- Use the current Food Service Management (FSM) system to create, update, and manage records according to Navy Food Service standards.
- Prepare and submit financial reports, records, and returns on schedule and in line with Navy protocols.
- Review and reconcile accounting entries to confirm accuracy and alignment with DoD and Navy guidance.
- Keep all documentation aligned with the latest Navy food service directives and policies.
- Support compliance audits by ensuring records are accurate, current, and readily available for review.
- Prepare financial summaries and returns as required by Navy food service operations.
- Apply Records and Returns School training to manage food service records, collaborate with food service personnel, leadership, and auditors, and help others follow proper accounting record management practices.
Requirements & Qualifications
Required Qualifications
- At least five (5) years of experience managing Navy food service records.
- Proficiency with the latest Food Service Management (FSM) software, plus the ability to maintain older manual paper logs when the system is unavailable.
- Certificate or documented attendance from the latest Records and Returns School.
- Explicit certificate or documented attendance from the Navy technical school that covers closing monthly food service financial balances (“Records and Returns”).
- Familiarity with Navy accountability systems, food service directives, and Navy regulations.
- High school diploma or equivalent.
- Strong organizational and time management skills for handling multiple accounting tasks.
- High attention to detail and commitment to accurate records and Navy compliance.
- Valid passport with at least one (1) year of validity remaining at hire, and the ability to travel internationally.
- Ability to obtain country-specific visas in accordance with the U.S. Department of State Foreign Clearance Guide.
- Ability to pass contract medical requirements and remain medically compliant throughout deployment.
- Ability to obtain and maintain facility credentials and authorization.
- Ability to read, speak, and understand English well enough to perform contract duties and follow installation emergency procedures.
Preferred Qualifications
- Bachelor’s degree in accounting, finance, or a closely related field.
- Previous experience in an austere Outside the Continental United States (OCONUS) environment with a multi-national workforce.
- Valid driver’s license for the country of assignment.
