Fulfilment Officer

Role Overview

This position sits at the centre of the order-to-delivery cycle for an FMCG consumables manufacturer based in Thika. On a typical day, the Fulfilment Officer converts incoming customer orders into accurate, on-time deliveries by keeping sales, procurement, warehouse crews and transport partners working from the same set of information. The work matters because every picked item, corrected stock code and verified delivery note directly protects service-level commitments, keeps inventory rotating properly, and prevents the small errors that quietly damage customer relationships.

Key Responsibilities

• Capture, review and validate customer purchase orders in the company ERP, confirming live stock availability, pricing tiers, item codes and delivery addresses before releasing orders for approval.
• Follow every active order from entry through picking, dispatch and final delivery confirmation, escalating stalled or at-risk orders before they breach agreed turnaround times.
• Build and issue picking schedules, staging instructions, delivery notes and outbound invoices for warehouse teams, then supervise picking, packing and dispatch staging so orders leave complete and correctly assembled.
• Apply strict FIFO/FEFO rotation across consumable stock, raising slow-moving or near-expiry risk with the relevant teams.
• Reorder the daily workload to push urgent and high-value orders through ahead of standard jobs in line with customer SLAs.
• Support cycle counts, physical inventory audits and variance investigations in the ERP, and report low stock, stock-out threats and inbound delays to Procurement and Planning without waiting to be asked.
• Trace the root cause of order discrepancies, returns and damaged goods, then initiate and follow through on corrective actions.
• Coordinate outbound transport with the internal driver fleet and third-party logistics providers, track shipments in transit, verify Proof of Delivery documentation and resolve shipping delays.
• Keep customers and the sales team informed on order status, and handle delivery complaints promptly and professionally.

Requirements & Qualifications

• Education: Bachelor's degree or diploma in Supply Chain Management, Logistics, Procurement, Business Administration or Operations Management.
• Professional credentials: CIPS, KISM or APICS/CSCP certification is highly regarded.
• Experience: 3–5 years of hands-on work in order fulfilment, inventory control, warehouse administration or logistics management.
• Industry background: Direct experience in an FMCG or manufacturing setting, managing ERP-driven inventory across multiple locations.
• Systems: Confident use of enterprise ERP platforms such as SAP, Microsoft Dynamics, Sage or Odoo, plus intermediate to advanced Microsoft Excel skills.
• Technical skills: Working knowledge of warehouse management, dispatch auditing, logistics coordination and data reporting.
• Personal attributes: Sharp attention to detail, sound judgement under pressure, a customer-first mindset and a strong sense of personal accountability.
