Role Overview
You will be the welcoming face of a busy appointment-based medical clinic in Nairobi, stepping in on a temporary contract to keep front desk operations running smoothly. Day to day, you will greet patients, organise appointment schedules, coordinate patient flow with clinical staff, and handle small cash transactions — all while helping to create a calm and professional environment that supports a positive patient experience.
Key Responsibilities
- Greet patients and visitors promptly and courteously as they arrive, making them feel at ease from the moment they enter.
- Arrange, confirm, and reschedule patient appointments, balancing clinician availability with patient demand to reduce waiting times.
- Monitor the daily flow of patients through the clinic, liaising with nurses and clinicians to manage delays, urgent cases, and schedule changes.
- Answer phone calls, respond to emails, and address messages from patients in a clear, patient, and professional manner.
- Handle petty cash with accuracy: issue receipts, record every transaction, and reconcile cash logs at the end of each shift.
- Keep paper and digital records organised — including patient logs, appointment lists, and visitor registers — so information is easy to retrieve.
- Maintain a tidy, welcoming reception and waiting area, ensuring reading materials, forms, and supplies are always within reach.
- Identify scheduling conflicts or patient concerns that need senior attention and escalate them promptly to the clinic administrator or relevant staff.
Requirements & Qualifications
- Education: KCSE certificate, diploma, or degree in any discipline.
- Experience: This is an entry-level role; prior formal work experience in a clinic or office is not required.
- Computer literacy: Practical familiarity with Microsoft Office, email, and digital calendar or scheduling tools is essential.
- Organisational ability: Comfortable managing multiple calls, walk-ins, and administrative duties at the same time without losing track of detail.
- Communication skills: Clear, polite, and reassuring when speaking with patients, family members, and clinical colleagues.
- Reliability and integrity: Trustworthy handling of cash, with a careful approach to recording transactions and maintaining accurate paperwork.
