Our client is seeking a polished and highly organized Front Office & Client Services Administrator to act as the primary ambassador for their legal firm. This dual-function role demands a professional who can deliver a seamless, high-standard reception experience while providing robust back-office registry support. You will be responsible for the integrity of client case files, database management, and ensuring that daily office operations run with absolute precision. Reception Mastery & Guest Relations
Preside over the front office, providing a warm and professional welcome to all clients, visitors, and partners.
Manage a high volume of incoming switchboard calls and direct inquiries to the appropriate legal departments.
Coordinate client appointments and ensure the firm’s professional image is upheld in all first-point-of-contact interactions.
Legal Registry & Documentation Control
Facilitate daily file management by opening, organizing, and maintaining comprehensive client case files.
Coordinate file retrieval and delivery for advocates and legal staff to ensure smooth courtroom and meeting preparation.
Monitor and update "bring-up" schedules and file movement logs within the internal tracking system.
Audit registry records regularly to ensure proper filing and rectify any misfiled documentation immediately.
Oversee the end-to-end file closure process, including generating documentation and maintaining secure closure logs.
Digital Systems & Data Stewardship
Execute precise data entry into specialized internal legal software (e.g., the Wakili system).
Safeguard the integrity of the firm’s database through meticulous record-keeping and regular system updates.
Generate status reports regarding file movement and administrative milestones for management review.
General Operations & Administrative Assistance
Provide essential back-office support to legal secretaries and clerks to ensure departmental efficiency.
Monitor and manage office inventory, ensuring supplies and materials are restocked and utilized effectively.
Assist in logistical transitions, including office setups or departmental relocations.
Adhere to strict protocols regarding the handling of sensitive and confidential legal information.
Educational Background & Career History
Academic Credentials: Diploma or Degree in Business Administration, Office Management, or a related field.
Professional Longevity: 4 to 5 years of stable experience in front office administration or high-level customer service.
Sector Knowledge: Direct experience within a legal firm or a professional services environment is highly advantageous.
Technical & Behavioral Skills
IT Literacy: Advanced proficiency in Microsoft Office Suite and experience with database management systems.
Communication: Exceptional verbal and written skills with a strong professional presence.
