Role Overview
This position places you at the operational heart of a newly opened aparthotel along Nairobi’s Northern Bypass, where you will manage the daily rhythm of the front office for both overnight guests and longer-term residents. Your shift will move between guest reception, reservation management, billing reconciliation, and close coordination with housekeeping, ensuring every stay starts and ends without friction. With two openings available, you will also help shape the service culture of a new property, setting a standard for professionalism that the brand will carry forward.
Key Responsibilities
- Welcome guests on arrival, complete registration documents, and issue room access following hotel security procedures.
- Process departures by reviewing all charges on the guest folio, collecting payment, and inviting feedback on their stay.
- Record room reservations made through phone, email, or in-person visits, entering all details accurately into the property management system.
- Check live occupancy and adjust room status codes so that available, occupied, and cleaning-ready rooms are always correctly reflected.
- Update and safeguard confidential guest profiles, including preferences, corporate billing arrangements, and emergency contacts.
- Coordinate with housekeeping and maintenance teams to prioritize room readiness and resolve any reported facility issues quickly.
- Handle cash, card, and corporate payments, then reconcile the shift’s transactions and prepare end-of-day summaries for accounting.
- Answer guest inquiries about local transport, dining, and attractions, arranging bookings where needed for both business and leisure travelers.
Requirements & Qualifications
- Diploma in front office, hospitality, tourism management, or a related commercial field.
- At least two to three years of continuous, hands-on front office experience in a hotel, lodge, or serviced apartment property.
- Mandatory working knowledge of the Micros Fidelio property management system; familiarity with SunSystems is an advantage.
- Comfort with Microsoft Office tools, especially Excel and Word, for preparing shift handover notes and managing reservation records.
- Willingness to work rotating schedules, including early mornings, nights, weekends, and public holidays.
- Impeccable personal grooming and a calm, welcoming manner when interacting with guests under pressure.
- Strong attention to detail for cash reconciliation, billing accuracy, and maintaining complete guest records.
- Clear spoken and written English, with the ability to resolve guest concerns both sensitively and conclusively.
